Event Operations Manager The Event Operations Manager is responsible for coordinating and executing the operational aspects of events from concept through completion. This role ensures that events run smoothly, safely, on time, and within budget while delivering a high-quality experience for clients, guests, and stakeholders. Essential Duties and Responsibilities: Plan alongside the event sales team, coordinate, and execute assigned events. Distribute, and track all event documentation, including Banquet Event Orders and event summaries. Plan and execute event details alongside the event sales team such as floor plans, setups, dcor, entertainment, and scheduling. Prioritize and arrange all logistical aspects of conventions and events, from BEO to on-site execution. Establish and maintain relationships with outside vendors. Assist the event sales team with city offices to secure permits when required for special events. Assist with setup and breakdown of events, ensuring inventory is properly stored and accounted for. Manage inventory of event supplies and ensure proper storage, tracking, and replenishment. Manage event timelines and oversee seamless execution on event day in collaboration with the event operations team. Serve as the onsite host and primary point of contact during events, ensuring client satisfaction and smooth execution. Communicate all event logistics with upper management, catering, and supporting departments to ensure proper staffing, equipment, and resources are in place. Conduct pre-event meetings with all relevant departments to inform of specific client requests, event needs, and operational requirements. Conduct post-event evaluations alongside the event sales representative with clients to gather feedback and identify opportunities for improvement. Manage and supervise on-site staff, contractors, and volunteers. Must be able to consistently lead the development of comprehensive event guides and operational processes that help improve efficiency, effectiveness, and streamline event planning and execution for the department. Create customized event experiences tailored to client needs and budgets. Support the Event Sales team when needed to maximize event revenue through strategic upselling and value-added services. Walk-thru events multiple times prior to the start of the event to ensure its readiness that aligns with client expectations. Collaborate with F&B and Attraction teams to ensure timelines, staffing requirements, and special dietary accommodation are all prepared. Ensure smooth execution of F&B services during events. Ensure all attraction/operational changes are clearly identified, approved, and communicated in advance. Communicate with Maintenance, Property, and Marketing teams to ensure all needed materials and projects needed for events are prepared for event. Qualifications: 3-5 years of experience in event coordination, catering, banquets, within an entertainment/venue setting preferred. 2-3 years of event management experience Bachelor's degree in hospitality, Event Management, Business or related field preferred Experience with sales and event management software like Reserve, Tripleseat, and Cvent is a plus Experience with project management software like Click-up, Monday, Asana is plus Bilingual (Spanish) is a plus Must be able to move about the facility for site tours and presentations Ability to lift and carry up to 40 pounds Must be available to work flexible hours, including evenings and weekends, based on client needs Skill Requirements: Strong proven ability to lead teams and drive performance Strong communication and presentation skills Excellent organizational and time management skills Ability to consistently achieve sales goals and manage client accounts effectively Strong interpersonal skills both in person and over the phone, with a high degree of professionalism Ability to work in a fast-paced environment We pride ourselves on offering a comprehensive, value-driven benefits package that promotes health, enhances work/life balance, and provides stability for our employees and their family members, now and into the future.
