Lead Intake Assistant The Puerto Rican Action Board (PRAB) is a comprehensive human services organization in Middlesex County, New Jersey. We provide a comprehensive range of essential services for children, youth, families, and senior citizens. We deliver need-based assistance to low and moderate-income residents of Central New Jersey and serve as advocates for those seeking to live productive, self-sufficient lives. The Lead Intake Assistant accurately reviews and processes applications for the Lead Remediation & Abatement program. S/he is responsible for application intakes and review of all necessary documents to ensure client eligibility for Lead & WAP to the Lead Manager. S/he ensures accuracy and efficacy of client files and status of benefits as well as assists in case specific issues. The Intake Assistant ensures client coordination as needed. S/he is able to thrive in a fast-paced, complex, dynamic environment, and possesses creative problem-solving skills, respect and compassion for staff members and the populations PRAB serves. The Weatherization program administers a variety of energy assistance programs/grants that assist eligible individuals and families to receive a benefit towards lowering their heating/cooling bills. In addition we are doing Lead Remidiation and Abatement. Responsibilities General Management Reviews source of documents and information necessary to process every application with proper coding such as dates, addresses, and account numbers with accuracy and correct coding Responsible for retrieving clientele information to provide current status and eligibility for all services under program guidelines Contact perspective companies that will assist eligible clients with Lead and WAP services Performs a variety of clerical duties such as data entry, record searching, verifying documents, filing updates, logging all applications, updates received and maintains a tally of incoming documents for reporting to state funding sources Maintains and organizes all Lead and WAP client files and data with confidentiality Updates computer application waiting list and assists in preparing program applications, forms mailings and opening correspondence Ability to perform key-entry assignments at a level of accuracy and proficiency to accomplish tasks in accordance with the time frame established by the contract regulations under the direction of the program manager Screens clients and assists with the intake and outreach process for all programs under the Weatherization and Lead department General Participate actively and represent PRAB in community life within Central New Jersey, including community events, neighborhood and community groups, advocacy efforts, policy-oriented forums, PRAB partnerships and collaborations, government agencies, and private institutions Conduct, attend, and participate in internal or external meetings as needed to maintain and improve professional competence Work diplomatically to solve problems within the organization and with clients Maintain professional appearance and behavior Perform other duties as assigned Qualifications Associate Degree in Secretarial Science/Clerical preferred, or college credits with 2 years relevant experience in a non-profit or fast paced environment A valid NJ Driver's license and reliable vehicle Bilingual (English and Spanish) preferred Knowledge, Skills & Abilities Fully committed to PRAB's vision, mission, and strategic goals and outcomes Excellent organizational, analytical, oral and written communications skills Ability to work collaboratively with a fast paced, highly interactive staff Proven ability to follow standard filing procedures Proven ability to communicate effectively verbally and in writing Proven ability to work effectively in a team setting Proven ability to work well with diverse groups Proven ability to solve problems, resolve conflicts, and Proven ability to handle multiple tasks effectively under pressure Proven ability to meet strict deadlines within time constraints, with emphasis on accuracy and timeliness Computer literate with knowledge of Microsoft Office applications Demonstrated maturity, integrity, and sound judgment Physical Demands and Working Environment Regularly stand, sit, and walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear; and taste or smell Frequently lift and/or move up to 25 pounds Generally works in an office environment but may occasionally be required to perform job duties outside the typical office setting Compensation and Hours This is a full-time, non-exempt, hourly position (35 hours) Salary is based on a pre-established range and is commensurate with experience Includes early evening and some weekend work hours on occasion Benefits are generous, including paid employee health and dental insurance (some employee contribution required); voluntary vision and retirement plans are also available Paid time off includes vacation, sick, and personal days, and holidays PRAB IS AN EQUAL OPPORTUNITY/AFFIRMATIVE ACTION EMPLOYER
