Job Description

This position will work approximately 28 hours per week.Key Responsibilities:Communication and Reception Handling:Deliver excellent, friendly in person guest service at the Concord location reception desk. Greet visitors and provide assistance in a courteous and professional manner.Handle inquiries and provide information to congregation and visitors.Manage incoming phone calls, emails, texts, requests for training and help from ministry volunteers and leads, prioritizing and responding appropriately.Maintain confidentiality and handle sensitive information with discretion.Maintain organization and cleanliness of lobby area.Distribute daily mail and package arrivals.Order and maintain regular office and staff kitchen supplies.Calendar Management:Maintain and manage the pastor's calendar, scheduling appointments and events as needed.Coordinate meetings and conference calls, and ministry events ensuring efficient use of time.Administrative Support:Prepare and edit documents, reports, and presentations using Microsoft Word and Excel, Follow and maintain detailed flow of work on used/shared softwarePlan ahead and prepare/purchase materials for ministry events, meetings and classes. Assist with special projects and research tasks as assigned at multiple locations.Ability to become a certified finger printer. Ability to travel to all Bay Church multi-sites as needed.Ability to lift and carry 15 lbs. Ministry Organization:Coordinate ministry calendar, volunteers and supplies at multiple locations.Coordinate and schedule appointments, meetings, and events for the pastor and volunteer leaders.Assist with event planning and logistics as required.Bilingual Skills (Spanish):Ability to communicate effectively in Spanish is a plus.Requirements:Detail person with excellent follow through. Conscientious team player who thrives on working collaboratively.Self-starter with excellent organizational and scheduling skills, with the ability to manage multiple calendars and activities.Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Ability to master new software programs. Strong communication skills, both written and verbal.Friendly and conscientious demeanor with a strong customer service orientation.Professional appearance and dress. Ability to handle sensitive information with confidentiality and discretion.Adept at multi-tasking with ability to manage multiple tasks for multiple projects at the same time. Can do attitude with great problem-solving skills. Flexible attitude with the ability to work at a fast pace, and naturally resourceful personality with the ability to pivot quickly. Flexible availability, including working Sundays and occasional evenings/Saturday as needed.
