Description Job Overview: The Architectural Review Coordinator is a point of contact who assists in the everyday questions and needs of the members primarily specific to architectural application questions and processing and who serves as Architectural Review Committee liaison; assists with covenants compliance issues and serves as Architectural Review Committee Liaison; attends scheduled Committee meetings and who performs various administrative duties to support the Blackstone Master Association and community management team as assigned.    Compensation: $27-29/hr   FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future. Your Responsibilities:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Acknowledge and greet all visitors to Blackstone Master Association in a friendly courteous manner.    Handle questions or calls from board members, homeowners and vendors or refer to the appropriate staff member for assistance.        Coordinate with other staff to ensure front desk coverage at all times.    Monitor security cameras and take action if inappropriate behavior of a member is noted.    Inform GM or other senior staff member of any injury or behavior incident, complete incident report and/or call law enforcement or emergency crew as needed.      Consistent use and maintenance of information in Connect, Tasks and other FirstService Residential database programs as assigned.   Perform site reviews and related correspondence and follow-up as assigned.   Association holds various social events for Members and their guests and staff may be required from time to time to assist with set up/tear down, food purchase, and other event preparations and/or to work the event as assigned.        Must have reliable transportation and be able to drive to other work locations, perform site reviews, pick up supplies, etc.      Open, review, separate, date-stamp and distribute mail received.      Process any Federal Express or courier packages for Community Management staff  Support staff as requested to complete filing, typing, administrative duties of board packet completion, completion of letters, flyers and other communications as requested.    Support staff to receive, copy and process ARC applications,    Assistant staff to maintain the bulletin board and decorate Club for various Holidays and events.    Maintain Events Schedule book and coordinate all reservations, process reservation applications and fees, ensure proper insurance and security service is provided; send event reminder notice; coordinate event with staff person handling the check-in and check-out of the event; close event application and collect/bill appropriate  charges and fees.     Follow established procedure with the member to check in, check out and collect the proper fees for private events.    Maintain and generate all required association and management reports.     Order parking patrol parking tickets, process parking violations and maintain spreadsheets as requested.      Operate and manage the Access Card and Automatic Gate/Door System.  Operate and manage the office telephone system.    Monitor and refill postage meter.   Assist with or coordinate contracts and maintenance of office equipment as needed.      Ensure Club access applications are completed in a thorough manner and verification documents have been received.  Issue/disable access cards to Members per policy and reflect such action in homeowner files and Connect and/or other assigned database.      Maintain "Guest" tracking cards; collect fees as needed and prepare monthly report.    Collect payments from members for access cards and events in accordance with established policy and balance cash register daily.    Coordinate and manage printing, envelopes and assembly/mailing/postage of mass mailings.  Make every attempt to enforce Club Rules and Regulations in a professional manner,  including Member’s access to Club.  Support other staff efforts in this regard.    Assist with light general maintenance and set up may be required occasionally  (i.e. community room furniture set up/take down; exterior lighting timers; adding chlorine to pool or spa; discard trash; light kitchen clean up; organizing of on-site and off-site storage areas, etc.).      Process reported maintenance items to appropriate staff member or vendor.    Maintain community profile, portfolio, policy notebooks, association manuals, annexation documents and office procedures files and forms.    Manage tracking of received election ballots and member registry.    Organize and maintain all homeowner and administrative files & perform annual association file cleanout in accordance with company standardized hard copy and electronic system.  Assist in coordinating the schedule and training of part-time staff with corresponding authority to assign support duties as needed.     Code Invoices as requested.      Assist GM in assigned administrative duties.  Inventory and maintain adequate level of office supplies.     Keep copiers full of paper, work areas clean and office supplies neatly arranged.    Handle maintenance and staff training of office machines (postage meter, copier, mailing machine, telephone, etc.).        Maintain an organized and clean workspace according to company procedures.  Change voice mail and apply out-of-office email greeting when out of the office.  Complete company training as assigned, attend all mandatory company functions and adhere to FirstService Residential Standards of Operation.  May be required to cover weekends or closing shifts as needed pending staffing availability and community event schedules. Other duties as may occur based on business needs.   Skills & Qualifications: Ability to work under tight deadlines and consistently meet deadlines.    Exhibit professionalism, professional attire and demeanor at all times.   Maintain reliable transportation in order to meet job responsibilities.   Demonstrates effective communication skills consisting of oral, written and listening skills.   Demonstrates problem-solving abilities.   Ability to draft correspondence and respond to inquiries and client concerns effectively and independently.   Must be proficient with computer programs needed for specific position including Microsoft Outlook, Word, Excel, and Power Point.   Demonstrates organizational skills and ability to independently prioritize daily workload.   Must have minimum typing speed of 40 WPM.   Must work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, title or other respectful identifier, and; respecting the diversity of our workforce in actions, words and deeds.  Education & Experience: Must have a minimum of a GED or a High school diploma.  Physical Requirements and Working Environment:  The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. Must be able to sit and stand for extended periods of time. Talking and listening occur continuously in the process of communicating with clients, guests, supervisors, associates, and vendors. Must be able to communicate both on the phone and in person in order to resolve issues related to the business. Must have finger dexterity for typing/using a keyboard. Must be mobile enough to move around the office and during outside events; including walking on uneven surfaces and standing for long periods of time. Ability to work with inside and outside environmental elements (noise, weather, etc.). Ability to work around pool equipment and chemicals. Schedule is subject to change based on business needs.   Full time position: Typical schedule, Monday through Friday, 8:00 a.m. – 5:00 p.m with evening hours required for Architectural Review Meetings, typically once monthly.  Workdays, hours of work and location may vary and overtime work will be required from time to time. Consistent and regular attendance required.  This position is fully onsite at the assigned jobsite location. The essential functions of the role require in-person attendance, and remote work accommodations are not available.
