Position Summary The Operations Coordinator plays a key role in supporting the Operations team and partnering with other departments to ensure the successful execution and delivery of Workplace Technology projects. This role assists with day-to-day operational tasks and promotes clear, effective communication across teams. The ideal candidate is highly organized, detail-oriented, and has experience in the Workplace Technology industry. Essential Duties & Responsibilities Project Management Support Partner with the Project Management team to coordinate travel logistics for all remote projects, including administration of the booking workflow and booking and managing travel through approved corporate travel platforms. Manage Certificate of Insurance (COI) requests by coordinating with internal stakeholders, insurance brokers, and carriers to ensure timely delivery of required documentation for active projects. Serve as a liaison between the Finance and Project Management teams to support the review and approval of subcontractor invoices as projects reach completion. Support the onboarding of new subcontractors and vendors by collecting, tracking, and distributing all required documentation to appropriate internal teams. This includes: Master Service Agreements (MSAs) Non-Disclosure Agreements (NDAs) W-9 forms Non-compete agreements Operations & Administrative Support Own and manage the Operations Monday.com board, ensuring incoming ticket requests are reviewed, routed, and addressed in a timely and organized manner. Coordinate the creation of job labels and oversee the printing and distribution of physical drawings for project execution. Assist the Director of Operations with onboarding activities for newly hired employees, ensuring a smooth and consistent onboarding experience. Manage equipment rental requests, including coordination and scheduling for: Scissor lifts Forklifts Scaffolding Masonite and other jobsite protection materials Support the Strategic Partnership Manager in coordinating in-office events, including lunch-and-learns and vendor-sponsored initiatives. Serve as backup support for the Procurement Manager during periods of absence, assisting with procurement workflows to maintain continuity of operations. Preferred Skills Experience with deal registration, procurement, and COI management Familiarity with the Workplace Technology industry (Audiovisual, structured cabling, security, access control, acoustics and sound proofing treatments, etc) Experience with ERP, project management tools, and CRMs such as D-tools, Quickbooks, Monday.com Personal Values and Work Ethic Punctuality and consistent attendance. Strong follow-through and ownership of tasks and project completion. Professional and concise communication. Ability to work independently with minimal oversight. Willingness to mentor and assist entry-level technicians. Self-motivated, proactive, and dependable. Maintains a clean, organized, and professional appearance.
