Position Summary The Part Time Administrative Assistant provides comprehensive administrative, executive, and office support across multiple areas of the organization. This role is critical to ensure smooth day-to-day operations, supporting executive leadership, and creating a professional, organized, and welcoming workplace environment. The Administrative Assistant serves as a key point of coordination for internal teams, visitors, and community-facing initiatives. Responsibilities Executive & Administrative Support Provide executive-level administrative support to leaders, including calendar management, travel coordination, errands, and ad hoc requests. Prepare accurate and timely documents, presentations, and spreadsheets using Microsoft Word, Excel, and PowerPoint. Complete data entry and administrative tasks with a high degree of accuracy and attention to detail. Support special projects and provide cross-functional assistance as business needs evolve. Office & Facility Coordination Maintain all common areas (breakroom, conference rooms, lobby) to ensure a clean, organized, and well-stocked professional environment. Order and manage office supplies, beverages, and snacks for office and meeting spaces. Manage incoming and outgoing mail and packages, including pickup, distribution, and tracking. Front Office & Communication Answer and direct incoming phone calls and greet visitors in a courteous, professional manner. Coordinate business meetings, including scheduling, room setup, catering or meal arrangements, and follow-up communication. Events, Branding & Community Engagement Plan and coordinate employee events across the Village of Companies. Create, post, and manage content for company social media platforms. Assist with community events and community involvement initiatives. Oversee the company apparel store, including ordering, vendor coordination, and product selection. Requirements Education/Training: 3-5 years of administrative experience preferred High School Diploma Required Marketing background a plus Knowledge/Skills/Abilities: Excellent written and verbal communication skills Strong customer-service mindset for internal and external stakeholders Highly dependable with outstanding attendance and reliability Strong attention to detail and time management skills Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Ability to adapt quickly, shift priorities, and manage competing demands Ability to create communication bulletins, marketing materials, and professional correspondence Travel Requirements: Local traveling required. Physical Requirements: Typical office position (sitting, standing, walking) Occasional lifting to 20 lbs.
