Assistant to the Dir of Advancement and DFO The Northwest School is an independent day and boarding school. We serve students in grades 6 to 12 on an urban campus in Seattle's Capitol Hill neighborhood. Position Overview: The Assistant supports the Director of Finance and Operations (DFO) and the Director of Advancement, and the affiliated departments, with high level administrative support. This is a full-time (40 hours per week) position. Approximately 75% of the time will be supporting the DFO, the other 25% will be supporting the Director of Advancement. There will be times throughout the year where this will shift as needed to best support the department. Essential Functions: Prepare for Board Committee meetings and follow up with agendas, notices, minutes, and resolutions. Staff 5 Board of Trustees committees: collaborate with the Executive Assistant to the Head of School to schedule meetings, arrange for rooms, distribute materials, take and distribute minutes. Act as an intermediary between the DFO and their direct reports or supervised Teams about ongoing operations. Maintain calendar and appointments for the DFO and the Director of Advancement Develop and organize email and other communications on behalf of the Director of Advancement and DFO. Anticipate, schedule, and plan involvement in events. Prepare and track the department office annual budgets, prepare invoices for payment, prepare and submit check requests and credit card reconciliations. Create and maintain database and spreadsheet files as requested including tracking participation rates for fundraising campaigns Plan meetings and events for the departments overseen by the DFO and the Director of Advancement. Conduct routine research; prepare reports and presentation materials for the DFO and Director of Advancement. Maintain files and organize information in support of the Director of Advancement's and DFO's duties. Keep department and division calendars and track major objectives and events Assist in event planning activities. Coordinate implementation of special projects as assigned. Maintain strict confidentiality. Support DFO in the management of the school parking program Maintain a system for tracking business contracts Lead the annual property and liability insurance renewal process Serve as the office manager for the Haus West building: order office supplies, maintain kitchen items, organize small events, coordinate submitting work orders and furniture ordering, update signage, etc. Other duties as assigned Qualifications Minimum Qualifications: All candidates must demonstrate a commitment to the school's mission, values, and philosophy, especially related to diversity, equity, and inclusion; environmental sustainability, and global perspective. A Bachelor's degree is preferred or An Associate degree and 4 years of related experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job. Two years of executive support, including complex scheduling and work with board committees and compiling meeting minutes is preferred. Professional writing proficiency. A high degree of proficiency in MS Office products, especially Word, Outlook and Powerpoint is required. Experience with Windows operating systems. Experience setting up and running Zoom meetings. Experience with creating organization systems. Database experience. Physical Demands: Ability to lift to 25 pounds in connection with job duties, such as assisting with setup or moving materials. Ability to stand, sit, and move comfortably on campus for extended periods. Ability to climb stairs and navigate uneven surfaces as needed between locations within and outside school buildings. Willingness to work outdoors in varying weather conditions, including inclement weather. Evening and weekend work may be required at times. Compensation: The salary range is $75,000-$82,000, based on education and years of experience. This is a non-exempt, FT E position eligible for benefits.
