The Property Management Assistant supports the day-to-day operations of a 55+ active community in Anaheim Hills. This role assists the property manager with administrative tasks, tenant communication, maintenance coordination, and record keeping to ensure efficient property operations and high tenant satisfaction. Full time or part time.Key ResponsibilitiesAdministrative SupportAssist property managers with daily operations and reportingMaintain tenant files, lease agreements, and property records.Responsible for deposits and reports from the Rent Manager.Prepare notices, flyers, correspondence, basic reports, newsletter and calendar, when needed.Tenant RelationsRespond to tenant inquiries via phone, email, or in personCoordinate and prepare paperwork for move-ins, move-outs, and lease renewalsAssist with resolving tenant concerns and complaintsEnsure compliance with lease terms and property policiesMaintenance CoordinationReceive and track maintenance requestsCoordinate with vendors, contractors, and maintenance staffFollow up to ensure repairs are completed in a timely mannerMaintain maintenance work orders and invoices from vendors.Financial AssistanceAssist with rent collection and posting payments in Rent ManagerTrack late payments and prepare notices as directedSupport budget tracking and basic accounting tasksCompliance & Property OversightAssist with inspections and ensure properties meet safety standardsHelp ensure compliance with local housing laws and regulationsSupport documentation for audits or legal mattersQualificationsHigh school diploma or higher (Associate’s degree preferred)Previous experience in property management, real estate, or administrative support a plusStrong organizational, time-management skills, and attention to detail. 60 wpmExcellent communication and customer service abilitiesProficiency in Microsoft Office and/or property management software (e.g., AppFolio, Yardi, Buildium)Ability to handle multiple tasks and work independentlyMUST live within 15-20 minutes of Anaheim HillsSkills & CompetenciesAttention to detail, problem-solving skills, professional demeanor, ability to handle confidential information, strong follow-up and coordination skills
