Reporting to the Assistant Dean of Research and Development, this position provides advanced project management for the office of Global Partnerships and Initiatives (GPI). Position holder will lead the planning and organization of multiple projects that have significant impact on GPI's strategic goals and mission. Provides assistant deans and leadership team with regular project updates, builds and maintains relationships with stakeholders and identifies and works to solve project challenges. Helps organize teams involved in new projects and keeps projects on schedule. For more information about working at the University of Arizona and relocations services, please click here Duties & ResponsibilitiesCoordinates and performs day-to-day operational activities for established projects including: Tracking project status and ensuring deadlines are met. Communicates status updates, key activities and any challenges with relevant stakeholders. Identifies and communicates resource conflicts with project team. Performs needed research and analysis. Helps prepare presentations on project updates, project cycle and expected results. Performs administrative functions related to projects including but not limited to notifications, scheduling, agenda and meeting minutes creation and follow up. Delegates project tasks as needed and ensures completion. Updates project resources as needed. Tracks budgets and updates the project team of any issues. Closes out activities of projects as they end. Leads project initiation including: In consultation with leadership, defines project teams, timeline, goals, stakeholders, budget if applicable and deliverables. Works with stakeholders for approval of project plan. Participates in the design and development any needed project knowledge resources (for example databases, documentation, policies and procedures). Sets up project plan in an online project management system for use by project team and trains project team to use the system as needed. Facilitates project kick-off meetings with project team and key stakeholders to ensure responsibilities are communicated and understood by all involved/concerned with the project. Serves as the project lead on various short-term and long-term projects including: Annual reports and various communications projects. Strategic planning and special projects. Ad hoc committee projects. Events, delegation visits, and meetings as needed. Knowledge, Skills, and Abilities: Knowledge of project management processes, systems, and methodologies. Strong communication and leadership skills with the ability to distill information and results into simple concepts and actions for a variety of audiences. Ability to analyze and interpret data and budgets. Excellent problem solving skills. Proficient with project management software. Ability to manage and build teams. Exceptional time management skills with the ability to manage multiple deliverables simultaneously. Strong attention to detail skills. Excellent cross cultural skills. Ability to handle ambiguity.
