Front Desk Receptionist Status: Full-time; non-exempt Reports To: Facilities Manager Schedule: Weekdays; 9am to 5pm Supervises: N/A The Front Desk Receptionist is an ambassador to and for the Longy Community. They serve as the initial customer service contact for the School's incoming calls and for in-person inquiries and requests made by students, faculty, staff, and guests. The Front Desk Receptionist provides general administrative support to staff and faculty and maintains organized information and communication systems. In addition to handling daily reservation inquiries, this person assists in coordinating ongoing room reservations and scheduling of studio and performance spaces. Responsibilities Ensures that the front office is open for business promptly at 9:00 a.m., Monday through Friday. Answers the main telephone line for Longy School of Music, directs calls appropriately, and responds to in-person student, faculty, staff, and guest inquiries. Assists the Facilities Manager with the oversight and training of On-Campus Employees. Oversees campus-wide scheduling using the ASIMUT system. Scheduling responsibilities include organizing the schedule for private studio lessons, daily one-time reservations, student chamber reservations, and staff meetings. Oversees front desk ticketing system, ensuring that all tickets are resolved in a timely manner. Sorts, delivers, and meters all incoming and outgoing mail and express deliveries. Provides general office management support, including ordering office supplies and maintaining phone lists. Monitors and reserves parking for faculty and staff. Collaborates with the Concert Office and responds to inquiries about Longy concerts and events. Assigns and oversees student lockers. Other duties as assigned. Skills and Experience Two years of customer service or related administrative experience strongly preferred. Strong interpersonal and customer service skills, with ability to act as a positive ambassador for the School. Experience in or appreciation for music, music education, and the arts preferred Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities and to work independently. Ability to work with a wide variety of personalities, ages, and temperaments. Experience using Microsoft Office and spreadsheets.
