General Statement of Duties This is a 260-days (12 months), 8 hours per day position. The starting salary is $49,521.91 or based on promotion policy for internal candidates. This position is open until filled, for the 2025-26 school year. Essential Duties Reports to the Heads of School, IB Programs Specialist, Director of Secondary Education Serves as administrator for SchoolMint platform to support IB Programs Specialist, Deeper Learning Specialist, and Specialty Center Specialist in setting up SchoolMint application, evaluation, and notification processes Serves as liaison between HCPS IB Programs office personnel and the five IB sites: J.R. Tucker and Henrico High Schools, and Fairfield, Moody and Tuckahoe Middle Schools. Serves as liaison between the Office of Transportation, school registrars, and parents for bus transportation requests of MYP grades 6-8. (distribution and collection of bus request forms, coordination and problem solving with Transportation) Provides clerical support for the student recruitment process for all county IB Programs promotional materials and events. Assists with development of timelines, newsletters, flyers, brochures, videos, open houses, information sessions and IB awards ceremonies. Is responsible for in-house and professional printing of materials. Assists with the development of IB applications annually, including revisions, counselor training, and ongoing counselor and registrar support. Assists interested families with application questions. Assists with the intake, processing, and data entry of IB scores. Organizes notification and accurate collection of responses to invitations, waitlist offers, and candidates who were not selected for the program. Maintains contact with waitlisted students throughout the waitlist window. Organizes registration packets tailored to each IB middle school and directly supports their registrars throughout the IB registration window. Arranges airfare and hotel accommodations for designated IB personnel and prepares travel packets and reimbursement procedures. Maintains communication with teachers to ensure efficient travel reimbursement following training. Completes and maintains records of School Related Leave forms for IB-related leave across the five IB schools. Provides clerical support for all local IB Program professional learning events, including the development of IB Resource Notebooks, other training documents, and handouts. Ensures provisions are available throughout training activities. Books venues for professional development activities, non-HCPS school testing, IBMA networking sessions, and application scoring events. Maintains accurate financial records, orders all supplies, and pays all invoices connected to the IB programs using the Oracle system. Maintains IB Specialist's calendar in Outlook. Provides clerical support for related MYP correspondence to include faculty, students, parents, elementary, middle school guidance counselors, and central office. Maintains secure document storage systems for applications, IBO resource materials, annual student progress reports, annual student assessments, and Community Engagement for grades 6-8. Is trained as and serves as the backup IB exam invigilator for the Diploma Program's May examinations at both high schools. Collaborates with the IB Specialist on the IB application appeals process grades 6-8. Answers the phone and responds to emails for the IB Programs office. Provides program information to parents and community members. Assists the IB Programs Specialist with Heads of Schools and middle school IB coordinators as needed. Other duties as assigned Minimum Qualifications A high school graduate or equivalent (business school or some college preferred). Leadership qualities and communication skills are necessary. Ability to use computers in a broad range of applications such as but not limited to the following: Word Processing, Spreadsheet Data Entry and Spreadsheet Design, Database Maintenance, and Internet Search Engines. Experience with Oracle, Google Docs, HCPS Web Reporting, MacSchool, SmartFind, and Entourage preferred. Additional Information This is an 8-hour per day, 260-days (12 months) position.
