Payroll Specialist The Payroll Specialist is responsible for the accurate and timely processing of payroll for multi-company, multi-state operations in compliance with all applicable federal, state, and local regulations. This role ensures the integrity and confidentiality of payroll data, maintains detailed payroll records, and resolves payroll-related inquiries. The Payroll Specialist works collaboratively with internal teams to support payroll operations and is expected to perform independently in a fast-paced environment with competing priorities. Essential Functions Statement(s) Process accurate and timely payroll for multi-company and multi-state employees in compliance with federal, state, and local regulations Maintain and audit payroll data, including earnings, deductions, taxes, and benefits Ensure compliance with wage and hour laws, garnishments, and other statutory requirements Prepare, review, and submit payroll tax filings, year-end W-2 processing, and related reports; coordinate with third-party vendors as needed Run, analyze, and reconcile payroll reports and resolve discrepancies promptly Respond to managers and employees payroll inquiries in a professional and confidential manner Maintain strict confidentiality of payroll records and sensitive employee information Support internal and external audits by providing payroll documentation and reports Collaborate with Human Resources, Finance, and other departments to ensure accurate employee data and payroll processing using ADP WorkforceNow (WFN) Ensure accurate and timely payroll processing using ADP WorkforceNow (WFN) Administer and monitor PTO tracking to ensure accurate balances Submit, monitor, and resolve garnishments through ADP Work with the payroll team to ensure uninterrupted and appropriate coverage for payroll operation is provided at all times Coordinate with ADP administrator for assistance with payroll system updates, testing, process improvement, and maintaining company codes as needed Provide backup support for payroll operations as needed Regular and predictable attendance Ability to work in a cooperative manner with others Performs other duties as assigned Skills & Abilities Education and/or Experience: Associate degree preferred; 3-5 years of experience in Payroll required. Minimum requirement of 2 years with recent ADP Workforce Now experience. Knowledge of payroll taxes, garnishments, and compliance is required. Ability to work on assigned functions/tasks in a timely manner and handle multiple tasks simultaneously with little or no supervision Language Skills: Able to communicate effectively in the English language. Mathematical Skills: Basic arithmetic skills are required. Reasoning Ability: Identifies and resolves problems promptly. Computer Skills: Expertise in use of personal computers, including Intermediate Excel skills required. Basic skills using other Microsoft Office programs required. Certificates, Licenses: CPP or FPC Certification preferred Other Skills and Abilities: Ability to maintain the strictest level of confidentiality when handling extremely sensitive information including company and individual financial materials. Must be highly organized and display honesty and integrity when producing, delivering and distributing information.
