This position supports the Capital Division's standard management practices and systems that support the capital program's planning, delivery and performance management. The PMO's work includes establishing and implementing best practices and maintaining standards related to all business processes needed to fulfill the Capital Division's mission. Working with the PMO, you will be part of a collaborative team applying and developing standards, guidance, tools, and performance metrics. This special duty assignment supports three primary areas associated with the PMO including, SharePoint and Microsoft Teams, Maintain Metro's Project Management and Capital Processes, and Knowledge Management. Key Responsibilities: • Support daily functions including SharePoint and Microsoft Teams administrative support, process new SharePoint site requests, and manage several Central Services SharePoint sites, including the Project Management Office Home and PMO Training Center. • Process Management support, help develop, document, communicate and educate on standards best practices; apply policies and create standard work; support continuous improvement efforts across systems, tools and capital's knowledge base. Maintain the Project Management Office Training Center SharePoint. • Maintain Capital's Get Things Built Framework, the authoritative structure that contains Capital Division processes and tools. Maintain the Capital Division Dictionary. Recruitment Information: This recruitment is intended to fill one (1) Special Duty Assignment (SDA), anticipated to last approximately 6 months. The actual duration may vary based on the discretion of the supervisor. Additionally, this selection process may be used to establish an eligibility pool for future SDA vacancies within this classification in the Capital Division. The eligibility pool will remain active for 12 months from the posting date and may be extended or utilized at the hiring authority's discretion. Job Duties Applying equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. As a Project/Program Manager Ill, you will: • Process SharePoint and Microsoft Teams creation requests, manage the SharePoint and Airtable lists. Set up SharePoint sites for the organization, apply and/or customize templates to sites. Be a technical subject matter expert to support SharePoint troubleshooting and provide SharePoint support to internal and external users. • Develop and manage databases (Airtable). • Maintain the Get Things Built Framework, coordinate with process owners to align requirements within the framework. • Customer relations and support, on behalf of PMO, for Get Things Built Framework, SharePoint, and PMO Training Center. • Make/modify recommendations for new systems, processes, standards, and change. • Maintain the PMO Training Center, intake requests and ensure content is updated on the SharePoint site. • Represent and advocate for the PMO to others and promote PMO services and products. • Conduct/lead technical meetings, coordinate work by cross functional teams. • Coordinate review/comments on processes, procedures standards or systems related to the program. • Provide technical expertise to perform research, analysis and prototype new solutions. • Manage work orders or contracts related to PMO functional needs. • Perform other duties and related tasks, as assigned. Experience, Qualifications, Knowledge, Skills Candidates must meet the following minimum qualifications to be considered for the position: • Abachelor's degree in project management, Engineering, Business Administration, Accounting, Mathematics, Statistics, Education, or closely related field, OR any equivalent combination of experience and education which provides the applicant with the skills, knowledge, and abilities required to perform the work. • Demonstrated experience in SharePoint administration • Demonstrated experience with Data/Information Management, Process Management, and/or Knowledge Management concepts. • Demonstrated applied knowledge of Project Management techniques and/or concepts. • Demonstrated organizational skills and attention to detail; ability to complete tasks or assignments within specified deadlines. • Ability to work respectfully with others and establish and maintain effective working relationships with a diverse group of individuals from a variety of different positions and backgrounds. • Demonstrated experience working with teams in establishing and documenting standard process. • Demonstrated experience training others on standard processes. Desirable Qualifications include: • Familiar with creating forms that are linked to SharePoint lists • Familiar with Project Management Institute (PMI) practices and/or hold a certification • Demonstrated experience with site collection management • Demonstrated experience with problem-solving skills for resolving user access, permission, and service issues • Specialized training in process improvement and/or hold a certification. • Knowledge of Project Management principles, including a good understanding of Project Management Institute Body of Knowledge. Work Location: The Capital Division works in a hybrid model, with days in the office as well as telecommuting.
