Job Description: The Scheduling and Student Services will work under the direction of the Manager of Operations to perform duties necessary to support McDaniel College's Graduate & Professional Studies. This position will be 35% scheduling duties and 65% student services responsibilities. ResponsibilitiesEssential Scheduling Functions Under the direction of the Manager of Operations input the GPS classes each semester in Colleague. Under the direction of the Operations Manager, continually update the schedule and communicate updates with all appropriate internal and external departments. Closely monitor the class enrollments during the low-enrollment decision time and work collaboratively with the Manager of Operations, Program Coordinators and Dean to address low enrolled courses. Essential Student Services Functions Interact with students via telephone, virtual meetings, email/written correspondence to guide students through the entire enrollment process, particularly focused on admission through graduation. Proactively contact and follow up with students via telephone, virtual meetings, and emails to assure initial and continuing enrollment. Use Slate and other platforms to accurately document and monitor contact with students. Answer questions and educate students on McDaniel programs and enrollment processes/requirements. Resolve students' questions and concerns, and guide students throughout the enrollment process. Maintain a current understanding of McDaniel degree programs and schedules. Remain compliant with standards, guidelines, and policies as set forth by McDaniel and the U.S. Department of Education. Regularly collaborate and work with other departments to include admissions, registrar, financial services and student accounts to ensure a streamlined enrollment process. Participates in recruitment events as needed. Able to travel and to transport self and a supply of recruitment materials for recruitment events. Collaborate with the Operation Manager, Manager of Communications and Professional Licensure and Manager of Student Services to develop and implement effective, sometimes standardized, written or email correspondence to enhance individual program enrollment management. Remain familiar with our partnership/articulation agreements. Provide new student onboarding assistance as needed. Help students connect to their advisor and other key offices within the institution to assure students have access to all services needed to assure successful enrollment and progression. Assume an active role as part of a cohesive enrollment and retention team. Assists Program Coordinators as needed to communicate with students and to monitor enrollment. Provide cohort rosters to county partners and provide enrollment data upon request. Field incoming phone calls from students and customers and connect them to the appropriate service/person. Perform other duties or participate in special projects as assigned by the Operations Manager to address and develop personal and professional skill areas and interests, as well as to help meet overall division objectives. The level and extent to which these projects/areas are assigned, either as primary or secondary responsibilities, will correspond with the program assistant's experience, skills, and time management abilities. Information Security Role: Data User Follow the policies and procedures established by the appropriate Data Stewards. Comply with federal and state laws and regulations as well as College policies, procedures, and standards associated with the College computing resources and institutional data used. Use institutional data only as required for the conduct of college business within the scope of employment. Implement safeguards prescribed by appropriate Data Stewards for Limited Access and Restricted Data. Ensure the appropriateness, accuracy, and timeliness of institutional data used for the conduct of college business. Report any unauthorized access, data misuse, or data quality issues to the appropriate Data Steward for remediation. Accept and complete the confidentiality statement yearly if access includes Restricted data. Report any suspected data breach to the CIO and the IT Help Desk as soon as possible. Requirements: Qualifications High School diploma, Associates degree preferred. Minimum of two years professional office experience, educational setting preferred. Excellent customer service, phone, and organizational skills are necessary. Communicate effectively, with a variety of constituents - prospective and current students, faculty, staff, and community members/partners. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) required, along with the knowledge or willingness to learn Slate, Colleague, Qualtrics and other college systems. Goal oriented and highly ethical. Ability to listen to customers (e.g. students, staff, etc.) and to understand and respond positively to their requests. Ability to adapt to changing assignments and multiple priorities, manage multiple tasks and successfully meet deadlines. Work a flexible schedule that includes some evenings or weekends, based upon departmental schedule. Enjoy a fast-paced environment, is goal driven and accepts coaching / feedback. Reliable self-starter capable of working independently and in a team environment. Working Conditions The overall setting of the job is in an area conducive to a normal office environment with minimal exposure to adverse conditions. Physical Characteristics This position requires sitting for long periods of time, as well as some bending and stooping when working with files. This position does have some limited lifting involved but not more than 10 pounds at a time. Quite a bit of finger/hand dexterity is involved regarding typing and/or filing.
