Senior Administrative Assistant Beacon Hill is partnering with our client in Saint Paul, MN to hire a Senior Administrative Assistant who will provide high-level support to multiple senior leaders within a large, dynamic technology and security organization. This contract-to-hire role will serve as a trusted administrative partner, helping drive efficiency, organization, and seamless operations across a fast-paced, high-visibility department. The ideal candidate is proactive, organized, and confident supporting senior leadership. This person will step into a highly trusted role as the current administrator retires, offering an opportunity to build long-term impact and become the executive's right-hand support. Responsibilities: Proactively manage complex executive calendars, resolve conflicts, and ensure leaders are prepared for upcoming meetings and priorities. Monitor and prioritize inbox communications; flag urgent items and draft responses as appropriate. Coordinate meetings, prepare agendas, compile materials, and take meeting notes with clear action items. Manage department-level events, offsites, and team activities Prepare and edit correspondence, presentations, reports, and other executive-level documentation. Handle routine and moderately complex inquiries, troubleshoot issues, and escalate matters as needed. Conduct research, compile information, and support operational planning and decision-making. Identify opportunities to streamline administrative processes and improve workflow efficiency. Serve as a resource for administrative tools, systems, and internal procedures. Qualifications: Minimum 2-3 years of administrative experience supporting executives or senior leadership. Strong proactive approach-able to anticipate needs, connect dots, and operate with a high level of ownership. Excellent organization and prioritization skills; comfortable managing multiple competing demands. Professional discretion with confidential and sensitive information. Strong written and verbal communication skills; polished and confident with stakeholders at all levels. Ability to work both independently and collaboratively in a dynamic, fast-paced environment. Proficiency with modern office and collaboration tools; ability to learn new systems quickly. Onsite three days per week required.
