From coordinating executive travel and leadership retreats to streamlining workflows and drafting high-level communications, you'll play a pivotal role in ensuring seamless day-to-day execution across departments. Job Summary: This position provides a high level of support to senior leadership. The Executive Assistant will assist with administrative tasks, event coordination and logistics, creating travel itineraries, calendar and project management, completing personal and professional tasks, while always utilizing professionalism and discretion. Duties/Responsibilities: Provide administrative support directly to members of executive leadership through complex calendar management including internal and client meetings, travel days, personal time and desk blocks, scheduling meetings and appointments, following up on action items including deadlines and commitments made by or involving executives, and partnering with other departments (Operations, Office Management, administrative teams) in the company to ensure operational efficiencies, clear objectives, and smooth day-today execution. Create activities and add detailed notes in firm systems (CRM, task management tools, internal platforms.) Maintain accurate documentation, workflows, and records. Assist with project coordination across departments and leadership initiatives. Draft, review and manage executive communications such as email correspondence, messages, and internal updates. Act as gatekeeper for executive time-prioritizing requests, preventing over-scheduling, and aligning meetings with strategic goals. Provide organizational support through process improvement, special projects as assigned, implement training schedules for new employees within the organization, and collaborate with other departments and team members to ensure project completion. Anticipate executive needs and proactively prepare materials, meeting agendas, briefing notes, documents, and context for meetings. Serve as primary point of contact on behalf pf executives, representing leadership with professionalism, warmth, and clarity. Coordinate travel logistics with itineraries, and scheduled events associated with team building and external events. Coordinating also includes logistics for executive meetings, off-site events, conferences, and leadership retreats across multiple leaders, departments, and locations. Manage and submit travel and expense reports accurately and timely. Introduce new processes and workflows to compliment seamless office operations. Develop in-depth understanding of all software used in our tech-heavy environment. Exercise independent judgment when managing competing priorities. Provide support in completion of personal and professional duties as assigned. Required Skills/Abilities: Excellent verbal and written communication skills. Proficient with Microsoft Office Suite or related software. Education, Experience, and Licensing: High school diploma required; Bachelor's degree in Business Administration or related degree preferred. At least three (3) years of experience as a Personal Assistant or Executive Assistant required. Physical Requirements: Prolonged periods sitting or standing at a desk and working on a computer. Must be able to lift up to 15 pounds at times. This position is an in-office position. Benefits As a full-time team member of the firm, you will be eligible to participate in several firm sponsored benefits. In addition, you will be entitled to accrue paid time off - starting at 120 hours each calendar year. We also close our office for 7 holidays, and have a floating holiday available for use as well. 401k Employee Retirement Savings Plan will be available after 6 months of employment and a minimum of 1000 hours. Employee directed pre-tax and ROTH contributions available. The 401k Employer Contribution begins on the 1st day of the quarter following six (6) months of employment with the firm. The company begins contributing a 3% Safe Harbor at that time, and employee contributions can begin at the same time. The company contributions are subject to a vesting schedule that are stated in the plan documents. 401k Rollover options from a previous employer plan are immediately available and encouraged.
