Title: Lead Logistics Coordinator Starting Pay Rate: $24.00 Location: Ravena, NY Job Type: Full Time | Non-Exempt Shift: M - F | 7:00am - 3:30pm Position Summary: The Lead Logistics Coordinator is responsible for leading the planning, organization, execution, and follow-up of daily delivery route assignments to ensure internal and external customers are serviced in a compliant, on-time, and in full capacity and that acceptable levels are maintained for driver safety, best-in-class customer service, efficiency, and cost. Ensures the accurate and timely completion of manifests and that continuous communication to sales partners is maintained. Oversees the loading and unloading of fleet vehicles and receives and processes product returns. Measures and analyzes key department metrics, including route efficiency, mileage, and fuel costs. Also responsible for partnering with peripheral teams (Packaging, Order Fulfillment, Vault operations) to meet planned team objectives. Essential Duties And Responsibilities: Order Fulfillment & Logistics Coordination: Oversee and coordinate order fulfillment, including staging and transportation. Work closely with Packaging, Sales, and Delivery Teams to ensure seamless operations. Develop and optimize delivery schedules and routes using historical and predictive data to enhance customer service and reduce costs. Monitor delivery adherence, product integrity, and safety, ensuring compliance with regulations. Maintain strict inventory records of all inbound/outbound products and track product movement through completion of delivery. Inventory Management & Compliance: Utilize and maintain inventory tracking systems such as MJ Freeway, ensuring compliance with DOH regulations. Perform cycle counts, unit conversions, and adjustments to meet order requirements. Process and document dispensary returns, third-party items, and vault consumables while ensuring compliance with reporting and destruction protocols. Ensure all products meet regulatory compliance, including packaging, labeling, and tracking. Report required data to Compliance, Packaging, and DOH as necessary. Fleet & Vehicle Management: Schedule and oversee fleet maintenance, ensuring vehicles are roadworthy, sanitized, and compliant. Coordinate and track vehicle storage conditions to maintain product integrity. Maintain and update vehicle records, including registration, inspections, and service logs. Ensure adherence to security protocols during transport and delivery cycles. Communication & Reporting: Maintain timely communication with Sales, Delivery, and Fulfillment Teams regarding orders, manifests, and deliveries. Utilize various communication tools (walkie-talkies, email, phone, portals) for efficient interdepartmental collaboration. Participate in delivery calls, troubleshoot discrepancies, and provide solutions to mitigate common errors. Update and distribute reports, tracking KPIs and core metrics to achieve departmental objectives. Process Improvement & Training: Identify and implement process improvements in routing, fulfillment, and delivery operations to maximize efficiency and minimize costs. Conduct quality audits and ride-alongs to assess and enhance operational effectiveness. Champion continuous improvement initiatives such as 5S and Hazard Communication. Train and mentor team members in standard operating procedures, safety protocols, and best practices. Administrative & Compliance Duties: Perform administrative tasks such as data entry, documentation, and recordkeeping for schedules, manifests, invoices, and inventory. Support compliance reporting and ensure adherence to company and regulatory SOPs. Participate in sales meetings and cross-functional discussions to align operations with business objectives. Engage in problem-solving discussions to enhance logistics and customer service. Supervisory Responsibilities: This position is responsible for helping others and providing on-the-job training or guidance. Qualifications: Six (6) months relevant experience in a cannabis setting with a concentration on logistics, order fulfillment, transportation or inventory management preferred. High School Diploma or G.E.D. minimum Must possess a valid driver's license with a clean driving record. Effective communication skills. Attention to detail. Strong work ethic. Willingness to learn and improve each operation. Basic mechanical aptitude to operate, maintain and troubleshoot computing and manifest printing equipment, and perform basic operator-level vehicle maintenance. Ability to sit or stand (on concrete floors) and perform repetitive tasks for long periods of time. Able to wear required personal protective equipment for up to 10 hours per day Physical Requirements: Ability to stand, sit, and walk for extended periods of time (8-10 hours per shift) Ability to lift and carry up to 50 pounds regularly and occasional lifting of heavier items with assistance Frequent and repetitive use of hands and wrists for extended periods of time Repetitive bending, squatting, and reaching Ability to climb ladders or step stools to access plants or equipment Ability to use required PPE when required, such as masks, hair nets, beard covers, respirators, boot covers, scrubs, non-slip shoes, and Tyvek suits as necessary Environmental Conditions: Exposure to environments with high humidity, varying temperatures, and strong odors (such as cannabis) Exposure to soil, water, fertilizer, dust, pollen and plant pathogens Exposure to cleaning solvents, such as high volumes of isopropyl alcohol Exposure to loud noises, including but not limited to air compressors, packaging equipment, and alarms Exposure to CO2 manufacturing procedures at OSHA approved CO2 levels
