Job Summary The Professional Services Billing Coordinator supports the Legal Services team by managing billing workflows, assisting with matter management in Thompson Reuters Legal Tracker, and coordinating with Finance and outside counsel to ensure timely and accurate processing of professional services invoices. The role plays a key part in maintaining billing compliance, generating reports, and supporting internal stakeholders. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively across departments and with external partners. Key Responsibilities Assist with the review and processing of legal invoices in Legal Tracker, ensuring compliance with company billing guidelines. Create and maintain new matters in Legal Tracker at the request of internal stakeholders or outside counsel. Prepare and distribute standard reports from Legal Tracker for Legal, Finance, and Audit teams. Follow up with approvers and outside counsel to resolve basic billing issues and ensure timely invoice approvals. Coordinate with the Accounting team on invoice coding, wire requests, and payment processing. Provide day-to-day administrative support for billing processes, including data entry, document management, and file organization. Support Legal Tracker user setup and training for new employees. Monitor deadlines related to invoice approvals and professional services billing cycles. Assist with process documentation and support continuous improvement initiatives led by senior staff. Communicate with outside counsel on billing questions and requests. Work with internal Legal and Finance team members to ensure billing data is accurate and complete. Support special requests for reporting and billing documentation. Minimum Requirements Experience: Minimum of five plus years of relevant work experience in legal administration, preferably from a law firm. Prior exposure to legal operations or professional services billing preferred. Education: Associate's or Bachelor's degree in Business Administration, Finance, or related field, or equivalent work experience.
