Executive Administrative Assistant Since its founding in 1985, Queen of Peace Center (QOPC) has been providing family-centered behavioral healthcare for women, children, and families. As a member of the Federation of Catholic Charities, we serve the metropolitan and surrounding St. Louis area through four core programs: prevention, education, treatment, and housing. Job Description Support Leaders. Advance a Mission. Queen of Peace Center is seeking a highly organized, detail-oriented Executive Administrative Assistant to support the CEO and Executive Leadership Team. This role is essential to maintaining smooth operations while handling sensitive information with professionalism and confidentiality. Key Responsibilities Coordinating and maintaining calendars and appointments Manage phones, faxes, mail, email, and deliveries Organizing appointments, meetings and communications Coordinate all meeting needs including preparation of meeting rooms, materials and minutes, distribute materials to Board of Directors, committees or other meeting attendees Arrange food and catering and meeting preparation, including meeting room arrangement Order supplies and maintain inventory Act as the point person for IT, operations, maintenance and other vendors and act as a liaison to resolve issues Serve on the Integrated Marketing and Communications (IM&C) team through Central Ministry Office (CMO) Act as liaison between IM&C and MHSUD Provide support to philanthropy team as needed, including in preparation and execution of events, volunteer activities and donation delivery Prepare itineraries, coordinate travel arrangement and conference registrations Process expense reimbursements and mileage Establish and maintain accurate files and records for efficient operations Greet guests and new employees Assist HR with administrative functions of onboarding of new team members Assist in administrative functions for Executive Leaders Ensure a clean administrative suite Qualifications Experience providing executive or administrative support High school diploma required; Bachelor's degree preferred Strong Microsoft Office and organizational skills Excellent communication, judgment, discretion, and attention to detail Ability to manage multiple priorities in a fast-paced environment Commitment to the mission and values of Queen of Peace Center Job Type: Full-time Benefits: Dental insurance Employee assistance program Flexible spending account Health insurance Health savings account Life insurance Paid time off Retirement plan Vision insurance Ability to Commute: St. Louis, MO 63108 (Required) Ability to Relocate: St. Louis, MO 63108: Relocate before starting work (Required) Work Location: In person Queen of Peace Center does not discriminate on the basis of handicapped status in the admission or access to, or treatment or employment in, its federally assisted programs and activities.
