This position will be physically based in our Nashville, Tennessee office, which opens in Spring 2026. What You'll Do Do you enjoy being the go-to person who keeps office operations running smoothly? As an Operations Coordinator, you'll provide hands-on support for our Nashville office by partnering across Office Services, Digital and Delivery Services, Safety and Security, and Space Planning. This role is ideal for a proactive self-starter who can anticipate needs, manage competing priorities, and deliver dependable operational support in a fast-paced environment. Operational Coordination: Support seamless day-to-day office operations by collaborating across internal teams and external vendors to meet evolving business needs. Digital & Print Services: Create and manage Digital Service job tickets, perform complex print and production tasks, operate printers and scanners, convert files to required formats, and record accurate daily billing information. Facilities & Space Support: Assist with general repairs and maintenance, conference room setups and breakdowns, office moves, furniture installations, and new hire setups. Mailroom & Delivery Management: Track and process courier and accountable mail, route unidentified or generic mail, log and deliver messenger items, and coordinate customized packaging and special delivery requests. Safety, Security & Emergency Preparedness: Partner with the Physical Security team to coordinate training, emergency drills, and local safety initiatives, working with building management as needed. Property Management Liaison: Act as a point of contact between the operations team and property management, managing building-related tickets and service requests. Customer Service Excellence: Monitor departmental email, respond to requests promptly, and coordinate resources to ensure Kirkland & Ellis (K&E) personnel receive timely, effective support. Reporting & Continuous Improvement: Provide status updates and reports, stay current on operations and facilities trends, and take on additional duties as assigned. What You'll Bring Education: Bachelor's degree preferred or equivalent on-the-job experience. Experience: At least three years of experience in an operations or facilities role, including hands-on exposure to mailroom, delivery, and digital copy/print environments. Operational Knowledge: Strong understanding of mailroom processes, production printing, and facilities support in a professional services setting. Customer-Focused Mindset: Proven ability to deliver high-quality service with measurable results and a solutions-oriented approach. Communication & Relationship Skills: Clear written and verbal communication with the ability to build trusted relationships with attorneys and staff. Organization & Adaptability: Comfort managing multiple priorities, tight deadlines, and changing schedules in a fast-paced environment. Professional Presence: Sound judgment, discretion, and the ability to work independently while contributing to a collaborative, team-oriented culture. Technical Proficiency: Strong working knowledge of Microsoft Windows and Microsoft Office applications, including Word, Excel, PowerPoint, and SharePoint. Physical Capability: Ability to lift up to 25 pounds as needed.
