The responsibilities of this classification include managing the daily operations and staffing of administrative support staff within the Dependency CASA Program. The incumbent is responsible for supervising administrative and paralegal staff and providing coverage support as needed to ensure continuity of operations. Additionally, the incumbent, as a member of the management team, makes recommendations in the development and implementation of policies and procedures; undertakes special projects, and prepares required data reports for the program. Tasks require substantive knowledge in particular areas of law, court operations, and work is performed independently, requiring a high degree of discretion, confidentiality and accountability. Work location: This position is located at the Patricia Clark Children and Family Justice Center in Seattle, but will require travel throughout the county, to include the Maleng Regional Justice Center in Kent, WA and the King County Courthouse in downtown Seattle. This position is eligible for a hybrid work schedule, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. Employees must reside in Washington State and within a reasonable distance to their King County Superior Court worksite to respond to workplace reporting requirements. Employees will be provided with a Court-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Work schedule: This is a full-time position. The Court's business hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. Work hours for this position may vary, including early mornings, evenings and weekends as needed. This position is exempt from the overtime provisions of the Fair Labor Standards Act and is not overtime eligible. Job Duties The following is intended to be a summary of the job functions for this position and does not reflect every task encountered to achieve these functions. Manage the daily operations and staffing of administrative staff within assigned division. Plan, coordinate, assign, prioritize, and provide directions to staff. Identify and solve workload and scheduling problems; provide assistance to employees with difficult assignments. Develop and oversee the maintenance and input of data to track clientele served, demographic information, services provided by the office. Generate monthly, ad hoc and regular statistical reports that interpret the department's case flow management data. Recruit, select, supervise, train and evaluate administrative staff, monitoring and ensuring accuracy and quality of work. Conduct performance appraisals, administer corrective action if necessary. Interpret and train employees in processes, policies and software applications, and keep staff apprised of updated applications and procedures. Review and prepare legal documents for case assignment and priority. Prepare billing reports for Friends of CASA grants. Assign cases to pro bono attorneys. Manage court-related projects including those related to process improvement, case flow, trial management and technology. May include cross departmental collaboration, public outreach and education, and operational enhancements. Prepare training materials. Participate in the development and implementation of procedures for assigned divisions. Assist in conducting reviews of the division's operations including but not limited to operating, and records retention procedures. Oversee the proper maintenance, archiving, release and destruction of vital records, exhibits and or files according to established policies and prescribed guideline controls. Respond to questions, concerns and complaints from internal or external customers. Serve on committees as assigned. Perform other duties of a similar nature and level as assigned. Experience, Qualifications, Knowledge, Skills An associate's degree and two years supervisory and/or management experience, or an equivalent combination of education and experience sufficient to perform the essential duties of the position. Practical knowledge of supervisory theories and practices; workload planning and scheduling. Working knowledge of the court systems, policies and practices, and application of court rules and procedures. Experience creating and implementing changes to operational processes and procedures. Excellent computer skills that include Microsoft Office applications and database management. Ability to prioritize multiple competing tasks and deadlines. Ability to apply effective interpersonal skills. Knowledge of community resources.
