Senior Administrative Assistant The University of Pittsburgh, Department of Medicine/Aging Institute is currently seeking a dedicated and highly organized individual to join their administration team as a Senior Administrative Assistant. The Senior Administrative Assistant will provide primary administrative support to the Director of the Aging Institute, the Administrative Director, and several faculty in key leadership roles. The Senior Administrative Assistant will also serve as the primary coordinator for Aging Institute educational programs which include a monthly research seminar series and an annual Research Day event. This position provides high-level administrative support to ensure efficient operation of the office. The ideal candidate will perform a variety of complex administrative and clerical tasks, including, but not limited to, managing schedules, handling communications, organizing files, preparing reports, and coordinating office functions. The Senior Administrative Assistant works with minimal supervision, exercises sound judgment, and handles sensitive information with discretion. Some additional preferred qualifications consist of being proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment, having strong organizational skills, excellent verbal and written skills, have the ability to prioritize tasks, manage multiple responsibilities, meet deadlines, demonstrate ability to work independently and part of a team, and have past experience handling confidential information with integrity. Job Summary Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments. Essential Functions Must be experienced with Concur and Panther Express and experienced in providing administrative support to senior roles. Experience in managing calendars and coordinating travel required. Excellent communication skills (oral and written), attention to details, strong organizational skills and the ability to manage tight deadlines. The ideal candidate will be able to work independently with minimal supervision, demonstrate strong organizational and communication skills, and effectively plan, prioritize, and coordinate a wide range of projects and tasks. Proficiency in Microsoft Office is required. Work Arrangement This position is eligible for a hybrid work arrangement following successful completion of the provisional period.
