Pay Schedule Hourly FLSA Designation Non-Exempt Position Summary The School of Health and Kinesiology at the University of Nebraska at Omaha invites applications for an office associate to provide complex and responsible administrative support to the School of Health and Kinesiology Director. This position requires independent judgement; ability to prepare documents with minimal instruction; make decisions based on broad general guidelines related to office management; maintain and monitor department budgets. Personnel and payroll records; coordinate RFP reports; coordinate with assistant director related to staff responsibilities; and other responsibilities as assigned. Key ResponsibilitiesBudget monitoring, reconciliation, purchasing, and deposits Payroll, personnel, and RP&T reporting coordination Faculty, staff, and student worker support (including HR paperwork) Travel coordination and reimbursement processing Office management, calendar management, and file maintenance Event coordination (student org events, luncheons, awards banquets) Support for mandated reporting, promotion/tenure, and annual review processes Position Summary: The Office Associate is a critical staff position that serves as the primary administrative and fiscal support for the School of Health & Kinesiology, enabling faculty to effectively carry out teaching, research, clinical, and service responsibilities. This role oversees daily business operations, including budget management, human resources processes, faculty travel, and compliance-related reporting that are essential to the School's academic mission. Job Duties Responsibility Area: Financial Documentation/ Duties: Review, maintain and process all documents related to the School of Health and Kinesiology financials/budgets including but not limited to purchasing, reconciling, making deposits, and monitoring budgets. Percentage Of Time 50 Essential Function: Yes Responsibility Area: Human Resources Responsibilities/ Duties: Human Resources Responsibilities - Develop and post job descriptions for work-study students, student workers, and graduate assistants; prepare new hire and rehire paperwork for part-time faculty and students (PAF, PDF, W-4, Direct Deposit, and I-9); approve the time bank for hourly employees, etc. Percentage Of Time 25 Essential Function: Yes Responsibility Area: Coordinate faculty travel & assist faculty staff & studnets Duties: Coordinate faculty travel; communicate college and school travel policies and procedures; create Travel Authorization; process conference registrations; assist with airline bookings; process expense reimbursements. Percentage Of Time 10 Essential Function: No Responsibility Area: Promotion & tenure process reporting Duties: Coordinate RP&T reports; faculty/staff annual reviews; etc. Percentage Of Time 5 Essential Function: No Responsibility Area: Office Manager/ Duties: Serve as Office Manager coordinating duties as needed, plan, develop, and implement procedures to maximize efficiency; maintain director's calendar; maintain all files including personnel. Percentage Of Time 5 Essential Function: No Responsibility Area: Other reports/requests/ Duties: Assist in the preparation of reports and other requests as needed. Percentage Of Time 2 Essential Function: No Responsibility Area: Special events/ Duties: Coordinate special events working with the assistant director, student organizations and others as needed (part time faculty luncheon, awards banquet, etc.) Percentage Of Time 3 Essential Function: No Required and Preferred Qualifications Required Education High School Diploma or equivalent Required Experience 3+ years of office/administrative support experience; Proficiency with Microsoft Office; Strong communication skills and ability to manage competing priorities Required License/Certification NA Required Additional Qualifications: NA Preferred Education Professional certifications such as Certified Strength and Conditioning Coach (NSCA), Certified Nutrition Coach (NASM), Certified Mental Performance Consultant® (AASP), Certified Performance and Sport Scientist (NSCA) or similar.
