About the Company 100% ONSITE - Do not apply if you don't live in or near the area. Amazing Opportunity for that Professional Senior Legal Administrator who can manage a small but mighty firm in the Brickell, Florida space. The ideal candidate will be able to effectively handle the management of the office (under 20 employees - with 4 Principles). About the Role The Senior Legal Administrator will be responsible for managing various aspects of the office and supporting the executive team in their daily operations. Responsibilities Document Preparation & Management: Drafting, proofreading, formatting, and finalizing various legal documents, such as purchase agreements, deeds, mortgages, leases, and closing statements. This also involves organizing and maintaining extensive physical and electronic filing systems, ensuring all documents are accurate and accessible. Transaction Coordination: Assisting in the coordination of real estate transactions from contract to closing. This includes tracking deadlines, monitoring the progress of transactions, and ensuring all required paperwork, signatures, and dates are accurate and complete to comply with local and state guidelines. Communication & Liaison: Serving as a primary point of contact and professional liaison among attorneys, clients, brokers, lenders, and other stakeholders (such as title and escrow companies). This involves handling inquiries, relaying messages, and providing transaction updates in a timely manner. Calendar & Schedule Management: Managing complex calendars for executives and attorneys, which includes scheduling meetings, appointments, property showings, and court dates, while proactively resolving conflicts and ensuring all parties are prepared. Administrative & Financial Support: Performing a range of executive administrative duties, including managing expense reports, processing invoices, tracking billable time, and assisting with billing inquiries. Research & Due Diligence Assistance: Conducting basic legal and factual research on zoning regulations, property records (e.g., title searches), and case law to support attorneys in providing legal guidance and facilitating the due diligence process. Office Operations & Compliance: Assisting with general office operations, such as ordering supplies and managing technology, and ensuring all legal procedures and documentation comply with relevant regulations to avoid potential legal risks. Human Resource Duties: Take on Human Resource duties and tasks associated with employees.
