Seasonal Office Assistant Under the supervision for the Parks and Recreation Office Manager. The Seasonal Office Assistant is responsible for a variety of clerical & administrative support tasks related to the effective operations of the department and the delivery of services to the public. This position will answer phones, greet visitors, process documents, maintain accurate records, and assist staff with routine tasks. Job Functions: Serves as first point of contact by greeting and directing visitors and callers regarding park shelter reservations, recreation program registrations, athletic facility use, events & programs, and permits. Receives and conveys information from the public to staff email, phone, written messages, or personal contacts. Provides general clerical support, including filing, scanning, copying, and data entry. Keeps accurate records. Processes program registrations, enters participant data, collects & processes registration fees; processes refunds, program confirmations, pool schedules, program schedules; and prepares daily deposits and reports of account activities for supervisor(s). Collects and processes payments for recreation programs, aquatic center passes, shelter and athletic facility reservations, & WPRA ticket program (ordering, selling, reporting ticket sales). Assists supervisors with revenue tracking, purchase orders, and invoices. Completes special projects and other job duties as assigned or required. Qualifications and Competencies: Minimum Education and Experience The requirements listed below are necessary to perform the essential duties of the position: High School Diploma or equivalent is required. Previous clerical and/or customer service experience is required. Competencies For successful performance in this position, the incumbent must demonstrate the following competencies: Organizational and time management skills to handle to high volume of work, set priorities effectively, and adapt to shifting demands Excellent written and verbal communication skills, complemented by strong customer service and interpersonal skills. Collaboration skills to effectively work with others, fostering teamwork, clear communication, and creative problem solving Intermediate level of proficiency in technology, including Microsoft Office, Adobe Acrobat, and other relevant software applications Ability to perform work duties under general supervision and operate within policy guidelines using independent judgment in achieving assigned objectives. Ability to demonstrate integrity, honesty, initiative, and respect while maintaining strict confidentiality in all aspects of work Ability to comply with all safety policies, practices, and procedures, and report all unsafe activities or conditions to a supervisor. Ability to establish and maintain effective working relationships with City appointed and elected officials, City employees, other governmental agencies, vendors, and the general public. Ability to exhibit exceptional professionalism, tact, and decorum in all areas of work duties. Ability to be reliable, timely, and proactive in the completion of duties, meeting deadlines, and responding to inquiries.
