Clinical Support Assistant UBMD Orthopaedics & Sports Medicine is seeking both Full-Time and Part-Time Clinical Support Assistants to support our clinical teams across multiple locations. This role plays a vital part in ensuring efficient patient flow, provider support, and high-quality patient care. Status Full-Time: 37.5-40 hours per week Part-Time: Up to 30 hours per week Locations Clinical Support Assistants must be willing to travel between locations based on clinical team needs. Patient Day Locations: 716 Health | 111 North Maplemere Rd., Suite 100, Williamsville, NY 14221 BrookBridge | 5959 Big Tree Rd., Suite 108, Orchard Park, NY 14127 Summit HealthPlex | 6934 Williams Rd., Suite 600, Niagara Falls, NY 14304 ECMC | 425 Grider Street, Buffalo, NY 14215 Additional Location May Include: Corporate Office | 4225 Genesee St., Suite 400, Cheektowaga, NY 14225 Schedule Monday - Friday, generally between 7:30 AM - 5:00 PM, depending on clinical needs. Part-time candidates must be available Tuesdays and Thursdays at BrookBridge. Specific schedules will be discussed during the interview process. Job Summary The Clinical Support Assistant supports providers and patients by performing a variety of administrative and clinical duties to ensure continuity of patient service and efficient workflow within the office. This role requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, team-oriented environment. Primary Responsibilities Patient Support & Flow Room patients and complete intake documentation. Check out patients and provide follow-up care instructions. Generate work notes, orders, and other documentation per provider directive. Ensure patients have signed all required documents, including HIPAA and Financial Policies. Scheduling & Communication Schedule and reschedule patient appointments, including internal referrals and OrthoCare (urgent care) follow-ups. Answer and direct incoming calls promptly and appropriately. Listen to and return voicemails. Send and respond to triages, emails, and MS Teams messages (Medent, Outlook, MS Teams). Chart Preparation & Documentation Perform patient chart prep prior to appointments: Enter x-ray orders Verify demographics and insurance Obtain necessary medical records Manage Medent tanks including documents, general orders, diagnostic imaging, therapy and lab orders. Review and distribute daily progress notes to primary and referring physicians. Complete and distribute disability paperwork; log forms and form fees per office protocol. Ensure compliance with collecting patient outcomes and quality reporting. Clinical Suite Responsibilities Maintain suite stocking and cleanliness. Support overall clinical workflow. Perform other team-related responsibilities as needed. Qualifications Education High School Diploma or equivalent required. Experience One to two years of experience in a healthcare provider's office or hospital setting preferred.
