Position Type: Secretarial/Clerical/Bookkeeper Date Posted: 1/30/2026 Location: Marion High School/District Administation Office Date Available: 07/01/2026 Closing Date: 02/20/2026 Marion Community Unit School District 2 Athletic Bookkeeper/Assistant to the Athletic Director (12 Month Position) JOB SUMMARY The Athletic Bookkeeper / Assistant to the Athletic Director provides financial, administrative, and operational support to the Athletic Department. This position is responsible for maintaining accurate financial records, processing transactions, assisting with budgeting and reporting, and supporting the Athletic Director with daily administrative functions to ensure efficient department operations. SALARY RANGE - $28,000-30,000JOB DESCRIPTIONFinancial & Bookkeeping Functions Maintain accurate financial records for all athletic accounts, including budgets, expenditures, revenues, and balances. Process purchase orders, invoices, reimbursements, deposits, and payments in accordance with district/organizational policies. Reconcile accounts and prepare monthly financial reports for the Athletic Director/District Office. Track team budgets, gate receipts, fundraising funds, and donations. Assist with annual budget preparation and monitor spending throughout the year. Ensure compliance with internal accounting procedures and applicable regulations. Maintain organized financial files and documentation for audits and reporting. Administrative Support to the Athletic Director Provide direct administrative assistance to the Athletic Director, including scheduling meetings, managing correspondence, and maintaining calendars. Prepare reports, spreadsheets, and presentations as requested. Assist with the coordination of athletic events, transportation, officials' payments, and facility usage. Support roster management, eligibility documentation, and required forms. Serve as a point of contact for coaches, staff, parents, vendors, and community partners. Assist with communication to stakeholders regarding schedules, events, and department updates. General Office & Department Support Maintain confidential student and staff records. Order and manage office and athletic department supplies. Support coaches with administrative needs, including paperwork and purchasing. Assist with special projects and departmental initiatives as assigned. Required Qualifications High school diploma or equivalent (associate's degree or higher preferred). Previous bookkeeping, accounting, or financial administrative experience. Strong organizational skills and attention to detail. Proficiency with spreadsheets and accounting/financial software (e.g., Excel or similar systems). Ability to handle confidential information with discretion. Excellent communication and interpersonal skills. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Preferred Experience in a school or athletic department setting. Knowledge of district or organizational purchasing and accounting procedures. Familiarity with athletic programs, scheduling, and event operations. Work Environment & Expectations Primarily office-based with occasional evening or weekend hours to support athletic events as needed. Frequent interaction with students, staff, parents, and community members. Requires sitting, standing, and light lifting of office materials.
