Job Title Performs computer entry of purchase orders and accounts payable invoices and processes related reports and checks. Assists in preforming payroll, welfare, and ambulance billing duties during absences of other employees. Perform routine clerical duties. Examples Of Duties The following examples of duties are typical for this position but are not intended to be all-inclusive: Enters accounts payable invoices in computer system using specialized accounting software. Prepares accounts payable manifests and accounts payable checks for approval by the Town Manager. Mails accounts payable checks and files related check copies and invoices. Answers telephone inquiries from vendors and inquiries made in person and by telephone from other. Prepares elementary financial analyses as needed. Assists in the distribution of payroll checks. Assists ambulance bills using specialized ambulance billing and recordkeeping software; assists in the mailing of ambulance bills and bid invitations; photocopies and mails or faxes final notice letters. Enters cash receipts and general journal entries in computer system and processes related reports. Drafts checks, forms, and letters. Serves as receptionist for Finance Department and occasionally for the Town Manager's Office, answering incoming calls and greeting visitors, answering questions in person and over the telephone, and directing inquiries and calls to appropriate recipients as necessary. Under the Direction of the Welfare Administrator, once trained, serves as back-up in their absence or as assigned: Exercise all powers and perform duties conferred or imposed by law on Overseers of the Poor. Investigates all requests for relief and authorizes such relief aid as may be deemed necessary and lawful. Keeps full and accurate records of persons receiving assistance with the amount paid on their behalf for such support and relief. Utilizes the Welfare software. Performs other related duties as required. Knowledge, Skills, And Abilities Good working knowledge of accounts receivable, accounts payable, and payroll records and procedures; working knowledge of modern office equipment including personal computers and calculators; working knowledge of computer word processing and spreadsheet applications, preferably Word and Excel; familiarity in computer network environment. Possession of strong communication skills; and the ability to maintain accurate records in complex situations. Honesty, integrity and the ability to keep confidential information private are critical elements. Ability to perform computer data input accurately and with reasonable speed; ability to make rudimentary arithmetical calculations rapidly and accurately; ability to accurately file documents in alphabetical order; ability to follow oral and written instructions; ability to establish an effective working relationship with other employees; and ability to exercise logic, judgment, and strict confidentiality in the performance of all duties. Minimum Qualifications High school diploma plus one year of experience in computer entry and processing of accounts receivable, accounts payable, and payroll documents and records, prior confidential office experience preferred; or any equivalent combination of education and experience which demonstrates possession of the required knowledge, skills, and abilities.
