Job Description

Practice Group Assistant The Practice Group Assistant provides interim administrative and secretarial support, acting as a backup for other legal secretaries and assisting with overflow work or absences. The Assistant must be detail-oriented, highly organized, able to prioritize workloads and tech savvy. They must also have a professional demeanor and be a self-starter with excellent written and oral communication skills. Essential Duties And Responsibilities: Provides a full range of administrative support to multiple attorneys, paralegals, and secretaries in the Litigation section as needed. Prepares and proofreads legal documents, including briefs, motions, subpoenas, and correspondence, using firm templates and attorney direction. Formats, coordinates, and e-files documents in State and Federal courts in compliance with court rules. Maintains case information in Court Alert and organizes documents in the firm's document management system. Opens new client/matter files, assists with conflict checks, and coordinates with the New Business Intake team. Schedules meetings and conferences, prepares materials, coordinates travel, and support client interactions while maintaining confidentiality. Prepares exhibits, notebooks, and other case materials as needed. Manages mail, billing support, time entry, expense reports, and check requests under attorney guidance. Provides general administrative and overflow support. Attends training to strengthen technical document preparation skills. Adheres to Firm policies and procedures as outlined in the Firm Handbook. Knowledge, Skills, And Abilities Required: Bachelor's degree preferred and 2+ years of litigation experience in a mid- to large-size law firm. Proficient in Microsoft Office, document management systems (e.g., NetDocs), billing and expense software, and experienced with federal (ECF) and Texas state e-filing systems. Strong understanding of state and federal court rules and procedures. Highly organized and detail-oriented, with strong proofreading, time management, and multitasking skills. Excellent communication and customer service skills; able to work both independently and collaboratively in a fast-paced environment. Willingness to work overtime as needed. Working Conditions: Normal office environment with some exposure to excessive noise, dust, temperature, and the like.
