Position Type: Secretary/Secretary - Class B Date Posted: 2/26/2026 Location: ESC - Buildings & Grounds Closing Date: 03/15/2026 Secretary - Class B - Buildings & Grounds Department Full Time 260 days/8 hrs/day Reports to: Director of Buildings & Grounds Duties and Responsibilities:Administrative & Secretarial Support Provide direct secretarial support to the Director of Buildings & Grounds. Develop, maintain, and safeguard files, records, and confidential information using spreadsheets, word processing, and database systems. Coordinate and distribute departmental communications. Format, update, and distribute departmental lists, bulletins, and reports. Schedule interviews, meetings, and appointments. Answer phones and assist staff, vendors, and the public in a professional manner. Financial, Purchasing & Operational Support Check and manage Buildings & Grounds Accounts Payable email and distribute invoices appropriately. Process gas receipts and complete reconciliation documentation. Manage mileage reimbursement submissions and documentation. Enter and track requisitions for merchandise, uniforms, air filters, warehouse supplies, Staples orders, and other department purchases. Process chargebacks and maintain supporting documentation. Maintain accurate financial and purchasing records. Facilities & Work Order Systems Support Manage and support FM Pro functions, including: Grounds and Woodshop work orders Health & Safety / IAQ work orders Project reporting Assist with key requests, door access and badge requests and tracking as needed. Maintain project documentation and related reports Inventory & Equipment Coordination Create and maintain departmental tool inventory records. Manage copier ink orders and coordinate copier maintenance needs. Retrieve and distribute materials, reconcile warehouse inventory reports as needed. Check Buildings & Grounds mail and deliver to the district mailroom as needed. Staffing & Department Coordination Assist with department coordination and provide cross-training support as needed. Support department data entry, tracking systems, and reporting functions Minimum Qualifications: High school diploma or equivalent; ability/desire to use computer for word processing, record keeping and information retrieval; strong oral and written communication; excellent organizational skills; ability to manage multiple priorities and meet deadlines; ability to work cooperatively with department staff, district staff, vendors, and the public; ability to maintain regular attendance and complete an assigned workday; ability to perform essential job responsibilities including physical requirements, materials handling, data functions, and people functions. Must be physically working in the building. Preferred Qualifications: Proficiency with Microsoft Office (Word, Excel); proficiency with Google Workspace (Gmail, Drive, Docs, Sheets); ability to read and interpret blueprints; project management/coordination experience; ability to mangage multiple projects with minimal direction; willingness and ability to learn additional software platforms, and ability to work effectively in a fast-paced environment.
