Achieva Family Trust is seeking a dedicated Administrative Assistant to serve as the vital first point of contact for our team. In this role, you will support our mission by coordinating essential communications with trust beneficiaries and their families, ensuring they receive the compassionate and efficient service they deserve. Position Summary The Administrative Assistant provides comprehensive support to the entire Achieva Family Trust team. This role acts as the primary liaison for current and potential beneficiaries, managing inquiries via phone and email, and providing essential information regarding trust services. You will ensure the office runs smoothly by managing documentation, supporting Board activities, and assisting with the daily administrative needs of the Trust department. Reports to the Trust Administrative Supervisor. Responsibilities Serve as the primary contact for telephone, email, and fax inquiries; evaluate and expedite responses to the appropriate staff members. Provide trust-specific information to beneficiaries, such as disbursement status or account balances. Coordinate the preparation and distribution of welcome packets for new trust beneficiaries. Maintain accurate demographic data and electronic filing systems, ensuring proper naming conventions and organization. Manage Board of Director activities, including arranging events, preparing agendas, and taking accurate meeting minutes. Monitor general email accounts and facilitate the flow of incoming and outgoing mail. Assist with the review and tracking of receipts for beneficiary purchases and upload documentation to electronic files. Support the Charitable Residual Account operations, including purchasing and order tracking. Perform routine office functions such as scanning, filing, ordering supplies, and maintaining the office calendar. Provide periodic coverage for the Achieva main receptionist as needed. Perform other duties as assigned. Job duties may change at any time with or without notice. Qualifications Equivalent of an associate degree in business, accounting, or human services required. Minimum of 2 years of administrative experience; experience in the disabilities field preferred. Proficient computer skills required (Google Workspace and Microsoft Office, with strong Excel skills). Excellent interpersonal and customer service skills with a professional demeanor. Must be able to pass required background checks, including Act 33, Act 34, and FBI clearances.
