Essential Functions, Primary Responsibilities and Objectives The Enrollment Services Coordinator provides support for the Enrollment Office staff with the processing and maintenance of student records within our student information systems. This includes maintaining computer-based applicant data, releasing student records to other student departments for enrollment, and assuring the smooth operation of daily office details. The Enrollment Services Coordinator also serves as the Institutional Administrator for the Accuplacer platform regarding course placement proctoring and test administration. Essential Functions Maintains enrollment application database in accordance with established procedures. Generates data entry of admission applications and the entire email/letter notification sequence system. Screens, from initial contact, individual applications on each prospective student. Continues follow up through finalization of the registration process. Ensures information sharing across appropriate departments and resolution occurs as needed. Verifies student information is accurate in Jenzabar and releases files to Registrar's Office and Advising. Serves as Module Manager for the candidacy module in Jenzabar to ensure accuracy of data integration and processing. Work closely with Director of Enrollment Operations and Systems and the Information Technology department to ensure daily procedures run smoothly. Serve as Institutional Administrator of the Accuplacer testing platform, which includes maintaining the daily proctoring schedule, reviewing test score integration with our student information systems (e.g. J1 and JRM), and ensuring staff and student access to user accounts and test vouchers. Processes incoming transcripts onto students' records within our student information systems (for example, JRM & Eclipse) and assists with obtaining additional documentation, as needed. Accepts payment of student fees using the Transact (or CASHNet) system as needed. Assists prospective students via phone, email, and on-campus by providing enrollment materials and relevant information regarding the enrollment process. Offer guidance to these prospects to ensure a timely and efficient enrollment process. Assist with the input of inquiries generated by enrollment counselors and various recruitment initiatives. Assists with initiating requests for requisitions pertaining to office supplies. Develop an action plan, as needed, to implement new strategies, procedures, and to streamline departmental processes more effectively. Provides training on process and procedure as needed. Assists with preparation and attends various enrollment activities, such as student visits, information sessions, and Open houses, as needed. Maintains office hours necessitated by institutional objectives or otherwise specified by the Director of Enrollment. Performs all other duties and responsibilities, as assigned.
