Job Summary The Program Delivery Coordinator, a member of the Harvard Professional & Executive Development team, supports the pre-planning and delivery of the Division of Continuing Education's (DCE) non-credit, professional & executive development programs. This is a 1-year term position with the possibility of extension after the first year. Job-Specific Responsibilities The Professional Development Programs team each year supports and delivers more than 150 on-campus and online open enrollment programs, and 30 on-campus, online, and off-site custom programs, while working with more than 60 different instructors. The Professional & Executive Development team cultivates, manages, and delivers a growing portfolio of programs for both open enrollment audiences, as well as private clients on-campus, online, and off-site. This position will have responsibility for supporting program delivery, conveying the DCE brand by providing excellent customer service, and through keen attention to detail in producing quality program materials. Duties also include on-campus and online support during program sessions, significant interaction with an international audience of businesspeople, and other units around the University, as needed. Reports to a Professional & Executive Development Program Manager. Event Planning and Logistics Prints and assembles large quantities of program materials for participants, with keen attention to detail Carefully packs and ships collateral and materials for off-site custom programs Prepares documentation and packing lists for off-site shipments Works with templates to update program materials Helps with setup and program delivery on day-of event both in person and virtually Maintains accurate and organized inventory of program-related collateral, ensuring adequate availability for program lead-up and program days Supports the program for duration of event Runs triage as necessary during event; anticipates and supports participant/instructor needs Orders pre-readings/cases May oversee temporary staff Successfully balances high-quality, participant-facing activities along with a myriad of behind-the-scenes administrative duties Contributes to improved business process efficiencies Customer Service Effectively communicates with participants (special requests, registration changes) via email, phone, and during programs in person and via Zoom Writes clear, concise, and professional responses to participants' inquiries Manages program registrations, assisting participants with payment and interacting with finance department Works to enhance participant experience throughout session Delivers welcome messages to new participants in person and via Zoom Working Conditions: May have varying hours ranging from 7am to 7pm. Physical Requirements: Must be able to lift 25 lbs Qualifications Basic Qualifications: Minimum of 3 years' relevant experience, such as event planning/management and or customer service Education beyond high school may count toward experience Additional Qualifications and Skills: Bachelor's degree is strongly preferred Ability to work in a collaborative, cross-functional, fast-paced, deadline-driven environment with a diverse set of stakeholders and a demanding global clientele Strong attention to detail and ability to follow through Ability to multi-task Excellent customer service skills Ability to be adaptable and flexible when facing unknown situations Exceptional oral and written communication skills Flexibility and ability to occasionally work long hours prior to and during programs (M-F with varying hours ranging from 7am to 7pm) Previous work in professional or executive education setting Additional Information Appointment End Date: Note: This is a 1-year term position with the possibility of extension after the first year. Standard Hours/Schedule: 35 hours per week Compensation Range/Rate (including Shift Differential if applicable): Compensation is based on the position and the candidate's relevant experience.
