Administrative Assistant - Mill ManagerColumbus, MSPay Rate: $50,000 - $65,000 Multiple factors, including Individual experience, skills and abilities will determine where an employee is ultimately placed in the pay range. Category/Shift: Salaried Full-Time About The Role: This position is located at the Columbus, MS Global Cellulose Fibers mill. As one of the largest softwood pulp producers in the world, this location produces bleached softwood pulp for use in paper and specialty products such as absorbent personal care products, pharmaceuticals and photographic-based papers. As the Administrative Assistant, you will report directly to the Mill Manager. Responsible for office activities, coordinating calendars (schedules & appointments), meetings, conference calls, and travel arrangements. Ensures that the mill lead team has appropriate materials for various meetings and events. Assist in preparing presentations for the Mill Manager and other lead team members. Coordinate and facilitate meeting and event scheduling including annual business events, recognition, customer visits, and visitor events. Process expense reports for the Mill Manager and other lead-team members. Manage corporate task tracker entries and activities for mill lead team. Prepare reports and documents as needed for the Mill Manager and other lead team members. Coordinate all mailroom requirements and manage office supplies. Serve as central communications point for Leadership Team. Coordinate and schedule candidate interviews for the mill leadership team. Internal Communication & Digital Content Develop and design internal communications using Canva Schedule and manage content publishing Visit Coordination & Executive Briefing Management Develop and manage agenda, briefing books, and pre-read materials Full-service logistics for visiting executives and teams: Calendar and room scheduling Meal planning and dietary coordination Tour guide scheduling Transportation arrangements Gift procurement and delivery Site preparation with contract coordination On-Site Employee Engagement Event Support Mill Wide Meetings (6 per quarter) Calendar management, food coordination, deck support, and door prizes Mill-Wide Celebration Caterer coordination, event setup, and gift ordering Annual Outage Support Snack and meal logistics (ordering, distribution, t-shirts) Charitable Drives and Events Diaper Drive: Coordination and delivery to non-profits FemHy Packing Event: Setup and pick up coordination Off-Site Employee Event Logistics Family Day Meal Planning, vendor contract, venue management, and day of support Christmas Party Venue contracting, insurance, and day of execution About You: Knowledge, Skills, and Abilities Minimum five years' administrative support experience preferred; Associate degree is preferred. Must have excellent PC skills including proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Microsoft Outlook. Excellent time management and prioritization skills required. Must be able to maintain positive relationships will all levels of the organization. Must be able to handle multiple tasks and work in a dynamic environment. Must demonstrate a high level of discretion and confidentiality. Excellent interpersonal skills and communication skills (verbal and written). Must be able to shift priorities in order to handle a variety of work and changing deadlines. Demonstrated ability to plan and coordinate scheduled meetings and travel arrangements with quality and accuracy. Manage high-visibility events and external partnerships representing the mill to the community. Supports internal culture and morale through detailed and thoughtful employee engagement planning. Ensure executive-level visit execution with precision, reinforcing the mill's reputation for excellence and professionalism. Provide key administrative support functions far exceeding a standard assistant role, often acting as project manager. Able to work independently to meet deadlines with minimum supervision.
