The General Manager (GM) serves as the Chief Operating Officer of the Home Owners Association. This position has ultimate responsibility for the day to day operations, including all activities and relationships between the Association, Board of Directors, members, guests, employees, community, government and industry. Property Summary Located in Willowbrook, Illinois on 72 beautifully landscaped acres, Lake Hinsdale Village was designed in 1968 as a Green Community. The campus includes 35 acres of open space displaying an extensive variety of mature trees and numerous flower beds. The 11-acre man-made lake winds its way throughout the landscape. In addition to the 164 two- and three-bedroom townhomes, homeowners can choose among 375 one-, two- or three-bedroom condominium units. Each of the seven mid-rise condo buildings has elevators, heated underground parking as well as ample visitor parking lots. A cornerstone for community activities, the LHV clubhouse has three levels, occupying 10,000 square feet. It features beamed cathedral ceilings, lounges, a kitchen and bar, fireplaces, reading area, and a game room with a pool table among its amenities. The lower level includes men's and women's locker rooms with access to the pool area and conveniently located near the exercise room. Residents enjoy the outdoor swimming pool from Memorial Day to Labor Day, as well as social and recreation activities which are held inside the Clubhouse and on the outside patio areas. If outdoor activity is what you're looking for, in addition to the swimming pool, LHV has a private perimeter road that homeowners use for jogging, biking, and dog walking. Or perhaps a stroll around the lake bank is more your style. Tennis courts, pickleball courts and a playground provide the necessary areas for additional recreation. Paddleboats are available at the clubhouse pier for those who prefer a lazy outing on the lake and catch and release fishing is permitted for residents. A co-ed golf league, water aerobics and yoga clubs add to the fun recreation activities bringing residents together. Parties, potlucks, dances and more are planned by the Social Commission for residents to enjoy year-round. About the Role The Onsite Portfolio Community Association Manager (OPCAM) is the key ambassador in partnership with the General Manager of GrandManors/RealManage for Lake Hinsdale Village. He/she will provide management, direction, and leadership to ensure the successful daily operations of a portfolio of 7 condominium associations within the master association and delivers professional services along with exceptional customer experience in accordance with the Service Level Agreement and in alignment with the company's guiding principles. Key responsibilities include, but are not limited to, working closely with the Board of Directors, developer, and/or builder to manage and operate the community, facilitate solutions to problems, and increase the home values of each community. Responsibilities The Onsite Portfolio Community Association Manager serves as a professional advisor to their Board of Directors of the 7 condominium associations within the master association Acquires and maintains current knowledge of state and regulatory agency statutes and the community's documents, policies, and procedures Provides weekly updates of open items and ongoing reporting to the Board regarding collections, ACC requests, compliance, service request, and work order activity You will have the opportunity to run a Board or Annual Meeting and create monthly management reports, which depict the actual condition of community amenities progress of specific key initiatives, and makes clear and concise recommendations The OPCAM assists the Boards with the selection of contractors and insurance carriers to maintain and protect the community Provide vendor management oversight, including set-up bid process, through contract and oversight Oversee and approve payment of vendors providing service to community association Develop and submit a complete and accurate annual budget(s), meeting all deadlines and demonstrating thorough analysis and consideration for the goals of the association Works with the accounting team to ensure the accuracy and ongoing maintenance of finances, variance reports, and invoice processing. Possesses knowledge of cash balances and availability of funds for projects, monitors aging reports to ensure timely legal action regarding collections, and any other legal action before the association Build and foster positive relationships with residents to ensure a high level of service, timely and complete resolution of resident concerns, good communications, and continuous improvement in services for the community Attend monthly Manager's and training meetings as required Conduct business at-all -times with the highest standards of personal, professional and ethical conduct Displays exceptional ability to analyze and deal with a variety of situations that otherwise could be potential problems Additional responsibilities as assigned by General Manager To be the very best at this position, we look for the following qualities: Excellent interpersonal skills. Most of your day will be spent managing data utilizing our proprietary software. You should be comfortable using and learning technology software which allows you to access Owner / Residential portals, Management / Board portals, Closing portals, Attorney Portals, and Vendor portals all from one landing page. Flexibility and humility. We approach our business with the mentality that we are here to serve. That means that you need to be willing and able to do what is necessary to please your clients, whatever that may be. You should be comfortable and willing to pitch in and do whatever needs to be done. Excellent organizational skills. You will be working with hundreds of owners divided among a portfolio of properties. We have established excellent, efficient systems to facilitate this work, but you need to have strong organizational skills and be attentive to detail to use the systems effectively. The ability to work independently. Because this is a growing business, you need to be comfortable working alone or independently at times. We will provide training and set goals, provide the technology and systems for you to achieve those goals. You will be empowered to make decisions and will be held accountable for your decisions. Associate or higher degree highly preferred. Minimum of (1) year managing Homeowner Associations (HOAs) required, (2+) years preferred. Onsite CAM experience preferred CAI designation(s) strongly preferred. Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers. Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service. Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices. Physical Responsibilities Ability to sit for prolonged periods at a desk and work on a computer. Ability to occasionally stand, walk, bend, or reach as needed. Ability to lift or move objects up to 10-15 pounds (e.g., files, office supplies). Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment. Visual acuity to read printed materials, spreadsheets, and computer screens. Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings. Ability to work in a standard office environment with moderate noise levels. Ability to work a standard schedule, with occasional extended hours as required. Pay and Benefits $80,000 to $90,000, depending on education and experience.
