Medical Front Desk Supervisor The Medical Front Desk Supervisor is responsible for the overview and supervision of patient check-in and check-out, collection of fees, and supervision of the front office, including staff supervision. This position will require working collaboratively with our providers (including resident physicians and advanced practice providers) and nursing staff. The Medical Front Desk Supervisor is responsible for ensuring all reception duties are performed according to policy. Medical Front Desk Supervisor Essential Duties Greet patients and visitors in a prompt, courteous and helpful manner. Check patients in & out for appointments. Verify cash box each morning and balance at the end of each day. Assist other staff to answer phone calls and scheduling needs. Call other agencies and/or taxis for patients as needed. Assist with deliveries from UPS and FedEx by unlocking vestibule door, sign for packages, ensure notification of proper employees, and ensure refrigeration of items as necessary. Build providers schedules each month while working collaboratively with Residency Program Manager. Re-assign provider panels upon resident graduation and as needed. Is alert for credit problems and verify financial class status on new patients. Ensure all worker's compensation and/or liability accident forms are completed and scan appropriately and, as needed, exposure packets are provided. Ensure Discount Program cards and information are sent to patients. Maintain patient no show processes. Ensure the department's portion of chart audits are completed efficiently each quarter. Supply monthly reporting data as needed. Work with other staff members to foster a team approach to the highest quality of patient care and staff cooperation. Work collaboratively with the clinical team to promote continuity of patient care. Continually evaluate departmental process for quality improvement and efficiencies. As the supervisor of the department: Oversee all department activities to ensure accuracy, completeness and timeliness of all team members. Establish professionalism expectations for all team members consistent with those of the practice as a whole and continuously monitor and mentor team on meeting these expectations. Complete evaluations in a timely manner. Approve/deny PTO requests. Review, edit, and approve timecards for staff. Develop staff schedules to meet the needs of the department and work with staff to arrange for complete coverage when team members are out of the office. Assist in the hiring process for department Be the primary point of contact for new staff members during their orientation and training during their introductory period, providing support to integrate new team members successfully into the department. Provide ongoing mentoring/training of all team members to foster their professional development and increase engagement within the department and the organization as a whole. Maintain work area and lobby in a neat and orderly manner. Attend and assist in meetings as required. Comply with company and department policies and procedures. Maintain Exposure Packets and distribute as needed. Perform other tasks as assigned. Medical Front Desk Supervisor Skills Required Ability to establish and maintain effective working relationships with staff, patients and the public. Enthusiasm for working as a member of a team in a rapidly changing environment. Knowledge of HIPAA privacy rules and regulations. Excellent interpersonal, verbal, and written communication skills. Excellent customer service skills and ability to effectively and respectfully interact with unsatisfied patients and coworkers. Perform all duties with a high degree of accuracy and timeliness of completion. Ability to manage multiple tasks, work under pressure, and prioritize workload. Effective and efficient time management. Ability to follow written policies and procedures. Ability to work independently and use good judgment. Knowledge of standard office machines and office technology. Medical Front Desk Supervisor Education and Experience High school diploma; Three years' experience in a medical office environment; Two year's supervisory experience or demonstration of equivalent leadership experience. Computer and typing skills; Social and cultural sensitivity appropriate to ethnically and economically diverse patient and employee-base.
