About this role: We are looking for a Logistics Coordinator to join the facilities and operations team. Since we have our own labs and manufacturing facility, we receive a lot of shipments, and we need someone to help us manage them. The person in this role will be the primary person responsible for receiving packages, sorting them so they reach the appropriate department, and entering packing slips at end of day into our purchasing software management program to ensure accurate records for our Accounts Payable team. The ideal candidate will be comfortable doing data entry with basic computer software programs, and also able to manage receiving packages and vendor shipments. Please note: This is a full time, 40 hours per week, 9-month contract position Must be able to work onsite five days per week, generally 8:30am-5pm. We are located in South San Francisco and accessible by public transit, including a free shuttle to our office complex from the South San Francisco BART station (one station south of Colma). Please note that we are located in South City and not downtown San Francisco. Responsibilities: Responsible for receiving shipments from vendors, bringing boxes from the loading dock to the office Confirm shipment contents with packing slips and enter that data into the computer system to update purchasing records for Accounts Payable to pay Maintain order while juggling package deliveries from multiple vendors and catering deliveries Organize the delivery contents in relevant departments around the office Manage daily mailroom operations, including mailbox checks and timely distribution to appropriate personnel Oversee breakroom, office, and facility supplies, including inventory tracking and replenishment (e.g., snacks, printer paper, consumables) Monitor and coordinate gas supply levels, including CO?, LN? dewars, and dry ice; place orders as needed to prevent shortages Conduct routine building walkthroughs to identify issues and report findings to the Facilities Lead Support monitoring and operation of equipment alarm systems (REES), ensuring timely response and escalation when required Coordinate with equipment and supply vendors for service and delivery Obtain vendor quotations and initiate purchase requests in accordance with procurement procedures Perform minor equipment maintenance and provide status updates or issue reports as needed Coordinate with building facilities team members as needed Other duties as assigned Requirements: Detail-oriented to accurately catalogue packages with our purchasing system Basic understanding of data entry and able to navigate purchasing software programs Ability to lift boxes approximately 50 lbs Prior experience using a palate jack is a plus Prior warehouse or shipping and receiving experience is a plus Good communication and organizational skills: the person in this role will be in regular communication with AP and purchasing team members Basic knowledge of Microsoft computer programs (Word, Excel) Teamwork orientation to work with the Facilities Supervisor and Lab Operations Manager as needed Aptitude for multi-tasking and prioritizing Ability to maintain accurate records
