Administrative Assistant The Administrative Assistant supports the Parks & Recreation Office by providing high-level customer service and administrative support to internal staff and external stakeholders. This position plays a key role in ensuring smooth onboarding processes, consistent employee training support, scholarship administration, and overall program quality control. The Administrative Assistant helps maintain operational excellence through attention to detail, organization, and proactive communication. SCHEDULE: 15 20 hrs a week between the hours of 8am 4pm, M - F Examples of Duties Provide exceptional customer service to both internal staff and external customers, ensuring timely and professional communication. Support the onboarding process for new employees, including documentation coordination, communication, and scheduling. Assist in the administration and tracking of continuous employee training initiatives. Administer the Parks & Recreation Scholarship Program, including processing applications, maintaining records, and communicating with families. Oversee and coordinate the employee recognition program to promote a positive workplace culture. Assist with quality control efforts by collecting and organizing customer feedback and helping implement preventative measures. Manage and track billable charges, ensuring accuracy and timely processing. Maintain organized records and documentation in compliance with City policies. Provide additional administrative support to the Office Manager as assigned. Other duties as assigned Typical Qualifications Must be at least 18 years of age Strong customer service and communication skills in person, on the phone, and via email Ability to learn and use registration, scheduling, and point-of-sale systems Comfortable handling financial transactions and following cash-handling procedures Strong attention to detail and organizational skills Ability to remain professional and calm when addressing customer questions or concerns Previous customer service or administrative experience preferred Supplemental Information Work is primarily indoors with some interaction in public or facility environments Schedule may include evenings, weekends, and occasional holidays based on program needs Requires standing, sitting, walking, and light lifting Frequent interaction with the public and staff in a busy service environment
