Executive Assistant We are seeking a proactive, hands-on Executive Assistant to manage the office of Nestmed's CEO and CTO / Co founders. In addition to primary support for the founders, you will provide logistical support to two Senior Leaders. This is not a passive desk job. We need a buildersomeone who loves the energy of an on-site team, isn't afraid to dive into Accounts Payable one minute and complex travel logistics the next. What You'll Do: Executive Support & Gatekeeping Calendar Management: Manage active, shifting calendars for our two Co founders and prioritize time, resolving conflicts weeks in advance to protect blocks for strategy, product, and deep work. Leadership Coordination: Assist Senior Leaders with critical scheduling and logistical needs to ensure the executive team remains in sync. Meeting Prep: Ensure the Co-Founders are prepared for critical meetings, key presentations, and conferences/events. Finance & Office Operations Accounts Payable (AP): Take ownership of the AP process. Manage invoice intake, process expense reports, and ensure vendors/suppliers are paid on time. Travel Management: Manage complex travel logistics, specifically for industry conferences, roadshows, and partner visits. Office Management: Serve as the on-site point person for the SF office. Keep the team engaged, the supplies stocked, and the environment conducive to high performance. Technology & Process Improvement Tech Stack Optimization: Proactively identify "broken" processes and research/implement new technologies to fix them. Project Alignment: Track action items from leadership meetings to ensure nothing falls through the cracks. You are the "glue" that ensures the Co-Founders and Senior Leaders are aligned on deadlines. Who You Are 4+ years of EA or Operations experience in a startup environment. You are high-energy, resilient, and comfortable with ambiguity. You have a bias for action and don't wait for permission to fix a problem you see. You are tech-savvy. You know your way around G-Suite, Slack, and Zoom, but you are also the person suggesting a new tool to make the office run smoother. You are comfortable handling invoices, tracking budgets, and working with finance tools. You believe that innovation happens in the room.
