POSITION SUMMARY: The Assistant Office Manager supports the daily administrative operations of Camp Weber, ensuring smooth communication, efficient office workflow, and excellent customer service for campers, families, and staff. This role helps coordinate schedules, maintain records, and contribute to a positive camp environment. ESSENTIAL FUNCTIONS: Adhere to policies and enforce, procedures and regulations of the YMCA of Greater Springfield. Adhere to, enforce and act in accordance with all camp policies regarding safety. Adhere to, enforce and act in accordance with the requirements of the local Department of Health and all other Massachusetts laws governing our summer camp programs. Proficient in Microsoft operating systems (Excel, Word, etc.) Provide administrative and clerical support to the Office Manager and Camp Director. Greet and assist campers, families, visitors, and staff in a friendly and professional manner. Support check-in/check-out procedures for campers, including transportation and dismissal coordination. Uphold all privacy, safety, and compliance standards as established by camp leadership. The successful candidate should be available from: 6:00 am - 6:00 pm Monday through Friday. Occasional weekend and overnight shifts are required. Work with staff to ensure a safe environment for participants He/she must be customer service-oriented with a positive, flexible attitude. Create and Maintain Camper groups, staff and camper files, weekly newsletters Must represent the YMCA in a professional manner and promote a positive and cheerful environment during each work shift. QUALIFICATIONS: • Must be 18 years of age or older • Have a High School diploma or equivalent. • Must have, or be willing to earn, and maintain CPR and First Aid certification(s). • Proven experience in an outdoor camp setting. • Demonstrated ability to maintain confidentiality and handle sensitive information. • Excellent written and verbal communication abilities. • Strong organizational, multitasking, and time-management skills. • Strong verbal and non-verbal communication skills. • Ability to make sound judgment calls in a fast-paced, participant-focused environment. • Must be able to role model positive behaviors • Be able to work in a high-value, and potentially high-stress, environment. • An ability to work with a diverse population. • Exhibit core YMCA values of caring, honesty, respect, and responsibility. • Excellent relationship building skills.
