CONSTRUCTION ADMINISTRATIVE ASSISTANT II/ SR CONSTRUCTION ADMINISTRATIVE ASSISTANTWhy This Role Matters: As our Construction Administrative Assistant/ Sr Construction Administrative Assistant, you'll play a vital role in bringing renovation and new construction projects to life-working alongside experienced engineers and architects who value precision, teamwork, and innovation. In this dynamic role, you'll be at the center of project activity. Reporting to a Project Manager, you'll coordinate critical documentation, compile and synthesize project information into clear, comprehensive reports, and help guide projects smoothly through the bidding process. You'll organize and facilitate client meetings, maintain project records, and serve as a key liaison between internal teams, clients, and external partners. What You'll Do: Review and make comments regarding construction documents, including but not limited to bid ads, specifications, submittals, requests for information (RFIs), contract pay applications, change orders and other related documents Coordinate project bidding, encompassing pre-bid walkthroughs, bid addenda and opening and contractor qualification processes Prepare construction contracts utilizing AIA software and coordinate the signature process amongst all parties. Review contractor insurance to ensure compliance with client requirements Arrange and facilitate project and job site meetings and inspections and fulfill client requests, interfacing with contractors as needed Prepare and distribute meeting minutes, field reports, change orders, etc. Maintain project financial records Collect and review contractor closeout materials, subsequently distributing them to clients Maintain project filing and perform other general office duties as assigned What You Bring: You earned an AS degree in a Construction related field, or have four (4) years of Construction Admin experience Strong attention to detail, accompanied by a sense of urgency and creative problem-solving skills Highly proficient in the Microsoft Office Suite and other productivity programs Excellent interpersonal capabilities, which you employ in verbal and written communication with clients, consultants and internal teams Construction Admin experience Advanced knowledge of public bidding processes for multiple prime contracts Ability to interpret complex construction documents What Does It Look Like Working Here? This range is a good faith estimate provided pursuant to the New York Pay Transparency Law. It is based on what a successful New York applicant might be paid and assumes that the successful candidate will be in New York or perform the position from New York. Similar positions located outside of New York will not necessarily receive the same compensation. Actual pay rates may vary from the range, as permitted by New York Equal Pay Transparency Law. Compensation offers will be based on various factors, including operational needs, individual education, qualifications and experience, work location and comparison to employees already in the role, as well as other considerations permitted by law.
