Administrative Specialist II The Administrative Specialist II (ASII) role is key in assuring a welcoming, friendly and respectful environment for members of the local community. The ASII provides welcoming services on the phone and at the front desk for clients seeking services, as well as administrative support functions for First Steps, Children with Special Health Care Needs and Medical Records. The ASII works closely with their supervisor and the Parent Child Health (PCH) team which includes Registered Dietitians, Public Health Nurses, Social Workers, Community Health Workers, Nutrition Assistants and Administrative Support staff to provide services to families within the local community. This position primarily supports our First Steps (Maternity Support Services & Infant Case Management) and Children with Special Health Care Needs program and may also be cross trained to support other programs and services at the site, and at times at other sites in order to meet business needs. Our clients are culturally, socially, and linguistically diverse. This position has the opportunity to be a warm and welcoming face of public health to the community by greeting clients at the front desk, and by being the first friendly contact with new clients when scheduling clinic or field home visits. To learn more, please visit Job Duties ASII responsibilities include, but are not limited to: Answering front desk phone calls and connect to care emails to assist clients seeking services Daily follow-up work to complete WIC packets & Cascades documentation for mailings to clients after program services have been provided Retrieving and responding to PCH shared mailbox messages and coordinating with team members regarding any necessary follow-up Coordinating and communicating client information to care team members while maintaining client confidentiality and complying with Federal HIPAA laws Daily schedule previews to confirm registration and coverage information, scheduling corrections for future schedules, and follow-up with team members as needed for additional information Preparing and completing reminder calls Client registrations and appointments in the electronic medical record registration (new additions or corrections) prior to the appointment time to prevent billing errors or a delay in services at the time of the appointment Scheduling and arriving clients in the electronic health record; problem-solving around coverage issues which may impact billing Documentation of communication and coordination related to PCH client services Receiving and processing PCH referrals on a daily basis (incoming from a variety of sources, as well as outgoing referrals generated through Valley Medical Center to other public health centers) IP Fax (monitoring IP Fax boxes, scan folders, sending and receiving site faxes, processing and distributing PCH faxes), and other general clerical duties Cross-training to help support other site programs and site responsibilities during staffing shortages Other duties include using a variety of computer programs including: EPIC (electronic health record) Microsoft Office products Experience, Qualifications, Knowledge, Skills Required: Skill in providing effective customer service with compassion and patience Approachable, effective listeners, and will enjoy working with people from a variety of cultures, communities, backgrounds and experiences Ability to learn new computer programs quickly and effectively adapt to changes in technology Action-oriented and able to quickly prioritize, use time effectively and efficiently, are skilled at identifying and eliminating barriers, and are willing to ask for help to accomplish tasks. Ability to work within a team, being cooperative, encouraging collaboration, and can work with teammates and supervisors to find collectively beneficial solutions Ability to maintain confidentiality of client information Ability to move up to 25 pounds in order to move boxes, manage KidVantage supplies, or restock office supplies with or without reasonable accommodation Desired: Demonstrated knowledge and working experience with electronic medical records and patient services Demonstrated knowledge and experience working with electronic health records Demonstrated knowledge and experience working within a multi-disciplinary team Demonstrated knowledge and experience with managing multiple priorities Demonstrated effective time management skills Washington State Driver's License or the ability to travel efficiently within the designated territory Bilingual language skills in Spanish or Vietnamese Forbes named King County as one of Washington State's best employers.
