A highly respected philanthropic organization is seeking an experienced Executive Assistant to support its executive leadership team and help advance a mission-driven portfolio focused on education, medical research, environmental innovation, and social impact. This role offers the opportunity to join a small, collaborative, and values-driven team, working closely with senior leaders to ensure seamless operations, effective communication, and exceptional administrative support. The ideal candidate is proactive, highly organized, discreet, and energized by contributing to impactful work. This is a full-time position based on the Peninsula with a hybrid schedule (two days in office, up to three days remote). Responsibilities Manage scheduling and calendar coordination for the Executive Director, Managing Directors, and Trustees Coordinate complex travel arrangements, meetings, board engagements, and special events Draft, edit, and format documents, presentations, and correspondence for internal and external audiences Track action items and take notes during leadership and board meetings Manage high volumes of email, records, and sensitive documentation with professionalism and discretion Partner with shared services teams (HR, IT, Facilities, Finance) to support day-to-day operations Oversee incoming communications and general office logistics Proactively identify opportunities to improve administrative processes and team efficiency Support recruiting coordination, including scheduling interviews and onboarding new hires Help plan and execute team-building activities, retreats, and staff events Assist with staff engagement initiatives and internal communications Maintain accurate vendor and grant records within internal databases Process expense reports and maintain related documentation Support website and social media updates in partnership with external vendors Assist with special projects, research, and virtual or in-person events as needed Requirements Prior experience in executive or administrative support within philanthropy, venture capital, family office, or a fast-paced professional environment Exceptional organizational skills with strong attention to detail Ability to manage multiple priorities and shifting deadlines with flexibility Excellent written and verbal communication skills High level of integrity and discretion with confidential information Proactive, service-oriented mindset with strong problem-solving abilities Proficiency with Google Workspace and Mac OS; familiarity with tools such as Zoom, Asana, Salesforce, Expensify, DocuSign, and WordPress a plus Comfort leveraging AI tools to streamline workflows Compensation 130,000-160,000 and a comprehensive benefits package.
