The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The centers provide campus-based direct services and supports at 13 centers located throughout the state. The Administrative Assistant III performs complex (journey-level) administrative support and/or technical program work for Education, Training and Vocational Services. The Administrative Assistant III is the lead employee in the provision of clerical services such as handling correspondence, documents, performing complex data entry, answering and routing calls, taking messages, greeting and directing visitors; and serves as the back-up employee in the completion of client payroll. The Administrative Assistant III works under the direct supervision of the Director of Education, Training and Vocational Services. The Administrative Assistant III has supervisory responsibilities over the other clerical staff in the department. Other duties may include, but not limited to reception duties, timekeeping, maintaining office inventory, ordering specialty and warehouse items, the coordination of confidential information, training others, and other duties as assigned. Must possess skills needed in using standard office equipment and software; knowledge of office practices and administrative procedures; and the ability to interpret rules, regulations, policies, and procedures; and to communicate effectively. Works under general supervision with moderate latitude for the use of initiative and independent judgement. Completion of work requires originating new methods and/or techniques and decisions are varied but based on well-defined principles. This position may be required to drive a state-owned vehicle. The Administrative Assistant III has no financial responsibility but is accountable for assigned property. The shift is generally 8:00am - 5:00pm, Monday through Friday. Some flexible hours may be required to complete special assignments. Essential Job Functions (EJFs): Complete individual payroll promptly and accurately as prescribed in the Vocational Payroll Policy and Procedures and in accordance with Department of Labor Laws. Submits completed information for billing and payments to Accounting as prescribed in the Vocational Payroll Policy and Procedures. Establish and maintain positive, supportive relationships with individuals served co-workers and individual family members. Work harmoniously with others and assist when requested or needed. Establish and maintain effective, positive and courteous communications with customers regarding contract and production information, purchase orders, and MRA's (Material Return Authorizations). Answer and route calls appropriately, take messages, communicate information effectively, greet and direct visitors. Establish and maintain practices that ensure the accurate and timely flow of written and verbal communication within and between departments. Inventories organize and initiates supply orders from the warehouse and maintains the storage room. Order office supplies and specialty items as needed for the department. Complete and submit all purchase requisitions for products within specified timelines. Ensure environment is free of safety hazards by correcting any hazards found and reporting them to the supervisor, housekeeping, or maintenance. Complete duties assigned as the Environmental Manager for the building and complete Environmental Reviews as scheduled by the Environmental Review Team. Continually enhance job performance by participating in career growth and development activities by participating in mandatory facility training for maintenance and competence development. Become familiar with and abide by the rules of the agency and facility policy, procedure, and guidelines. Attends work on a regular and predictable schedule in accordance with agency leave policy. Perform other related work as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge, Skills and Abilities (KSAs): Knowledge of office practices and administrative procedures. Skill in the use of standard office equipment and software. Ability to communicate effectively. Ability to perform quality control checks on data entry by departmental staff. Knowledge of payroll guidelines and processes. Knowledge of Activity Tracker Software. Registrations, Licensure Requirements or Certifications: Must possess valid Texas driver's license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy. Initial Screening Criteria: • Graduation from a standard high school or equivalent, plus 2 years' experience working for senior level management in an administrative support position. • Attention to detail by completion of the job application. Experience in the use of standard office equipment (personal computer, printer, telephone, fax, copier). • Experience in working with Payroll data. • Experience in the use of MS Word, Excel & Outlook. Additional Information: Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE). Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
