Hire date: July 1, 2026Full-time; 260 days per year; 8 hours per day @ $17.00 per hour. Schedule is 8 am to 4pm (but may change occassionally for trainings).Please provide a cover letter and resume with your online application. JOB DESCRIPTIONAdministrative AssistantAssessment, Secondary Education, AccountabilityFLSA Classification: Non ExemptWork Schedule: 260 DaysPosition Overview The Administrative Assistant provides comprehensive organizational, clerical, and operational support to the departments of Assessment, Secondary Education, and Accountability. This position plays a critical role in coordinating district assessment processes, supporting disciplinary hearings, managing departmental budgets, and ensuring efficient day-to-day district operations. The individual must demonstrate flexibility, strong attention to detail, technical proficiency, and the ability to manage multiple priorities in a fast-paced environment. Minimum Qualifications High school diploma or GED required; Associate degree preferred or comparable experience or training Excellent written, verbal, organizational, and interpersonal skills Proficient in Microsoft Office applications and o Working knowledge of Excel formulas o Ability to use artificial intelligence tools such as ChatGPT or Microsoft Copilot o Ability to learn new software programs as required Ability to manage confidential information with discretion Meets health and physical requirements, including the ability to lift up to 25 pounds Essential Responsibilities General Office Management Order office supplies as needed Coordinate hotel and conference reservations Provide day-to-day administrative support to department leadership Schedule for district-wide events and trainings Disciplinary Hearing Authority Support Prepare and organize hearing documentation Attend DHA hearings and serve as official recorder Complete and submit required follow up reports Budget Management Track expenditures and credits Maintain accurate financial records and documentation aligned with board policy Perform all necessary actions around purchasing Meeting Coordination Schedule meeting locations Prepare agendas and materials Setup and reset meeting spaces occasionally outside of traditional work hours Order and coordinate meal delivery when needed Provide logistical support during meetings Manage calendars as needed Assessment Coordination Complete assessment orders for all district schools Maintain and update the district assessment calendar on district and state platforms Attend state assessment meetings as required Process ACT invoicing Support the district assessment management program and related logistics District Operations Collaborate with departments across the district to ensure compliance and accuracy Additional Duties Compile notebooks and materials for new teachers and mentors Provide Aspen support for middle and high schools Provide Pearson support to all schools for TCAP Assessments Serve as TNCompass District co-configurator including roster management Serve as evaluation platform configurator/roster manager Document professional development hours from sign-in sheets Liaison between schools and Standard Banner Community Guide advertisement Collect and submit Top 10 Middle School information to the Standard Banner Assist other supervisors and staff as needed Perform other duties as assigned by the supervisor or Director of Schools
