Job Title: Executive Assistant to the CEO Organization: Relief Mental Health Location: Oak Brook, IL Reports To: Chief Executive Officer Position Overview Relief Mental Health is seeking a highly strategic, detail-oriented, and proactive Executive Assistant to the CEO to serve as a trusted partner in supporting the Chief Executive Officer across clinical, operational, financial, and organizational initiatives. The Executive Assistant will function as a strategic extension of the CEO - managing priorities, strengthening operational infrastructure, overseeing financial coordination, and ensuring seamless execution of high-level initiatives across multiple clinic locations and service lines. The ideal candidate thrives in a fast-paced healthcare environment, exercises exceptional discretion, anticipates needs before they arise, and is comfortable managing both executive-level strategy support and hands-on operational oversight. Core Responsibilities Executive & Strategic Support Serve as the primary liaison between the CEO, executive leadership team, staff, landlords, vendors, and external stakeholders. Manage and optimize the CEO's calendar with strategic foresight. Prepare the CEO for internal and external meetings by assembling agendas, reports, presentations, financial summaries, and key talking points. Track executive initiatives and ensure accountability for deadlines and deliverables. Support growth initiatives including new clinic openings, lease coordination, and expansion projects. Financial & Operational Oversight Perform bank reconciliations, manage deposits, and maintain organized financial records. Oversee accounts payable for corporate and clinic-related expenses. Manage executive expense reporting. Source and manage vendor relationships, including contract coordination and performance oversight. Landlord & Property Management Oversight Manage relationships with all landlords and property management companies across clinic and corporate locations. Ensure timely rent payments and reconciliation of lease-related expenses. Monitor lease terms, escalation schedules, renewals, and key deadlines. Coordinate communication regarding maintenance issues, build-outs, compliance requirements, and facility concerns. Support negotiation preparation and documentation for lease renewals or new locations. Maintain organized records of all lease agreements, amendments, and property correspondence. This role plays a key part in protecting the organization's real estate interests and ensuring operational continuity across all locations. Human Resources & Recruitment Support Assist with recruitment coordination, including interview scheduling and candidate communication. Support onboarding processes for new hires. Maintain confidentiality with all employee-related matters. Meeting & Communication Management Coordinate executive-level meetings including logistics, materials, technology, and follow-up. Take detailed meeting notes and track action items to completion. Format professional communications including executive memos, emails, and presentations. Manage information flow to ensure accurate and timely communication across departments. Administrative & Logistical Management Screen and manage phone calls and correspondence with professionalism and discretion. Coordinate travel arrangements and detailed itineraries. Handle sensitive documents and confidential information with the highest level of integrity. Support office-related and personal executive errands as needed.
