Job Description

About Sift At Sift, we're redefining how modern machines are built, tested, and operated. Our platform gives engineers real-time observability of high-frequency telemetry-eliminating bottlenecks and enabling faster, more reliable development. Sift was born from our work at SpaceX on Dragon, Falcon, Starlink, and Starship-where scaling telemetry, debugging flight software, and ensuring mission reliability demanded new infrastructure. Founded by a SpaceX, Google, and Palantir team, Sift is built for mission-critical systems where precision and scalability are non-negotiable. About the Role We're looking for a sharp, proactive, and deeply organized Executive Assistant to support our CEO and CTO. This isn't a traditional EA role. It's a high-leverage operational position at the center of a fast-moving, mission-driven startup. You'll own the time and logistics of two founders, help drive outcomes across the company, and take on research and special projects that have real business impact. If you're the kind of person who notices what needs to happen before anyone asks and makes it so, this role is for you. In This Role, You'll: Own and proactively manage complex, dynamic calendars for the CEO and CTO: scheduling, resolving conflicts, and protecting time for deep work Coordinate all domestic and international travel: flights, accommodations, ground transport, and detailed itineraries Serve as the communication hub between the CEO, CTO, and the broader team: tracking action items, driving follow-through, and ensuring nothing slips Conduct research to inform executive decisions: vendors, markets, customers, events, and more Prepare meeting agendas, briefing materials, and follow-up summaries Manage vendor relationships, office operations, and ad hoc logistics (swag, catering, facilities, events) Support investor relations, customer visit coordination, and external-facing events Take on special projects that improve how Sift operates: no task is too big or too small The Skillset You'll Bring: 2+ years of experience as an Executive Assistant or in a similar operational support role, ideally at a startup Experience supporting multiple C-suite executives simultaneously Exceptional organizational skills: you don't miss things, and you have systems to make sure of it Strong written and verbal communication; comfortable corresponding with investors, customers, and partners on behalf of executives Highly proficient in G Suite (Gmail, Calendar, Docs, Sheets) and Slack Proactive and assertive: you anticipate, you follow up, and you get things done Discreet and trustworthy with sensitive and confidential information Bonus Points: Experience at an aerospace, defense, deep tech, or engineering-heavy company Familiarity with Notion, Ramp, or similar tools Experience with investor relations, board logistics, or customer-facing event coordination Comfort in ambiguous, fast-moving startup environments where the job evolves quickly Interest in the future of hardware, autonomy, space, or defense technology What We're Looking For: A proactive, low-ego teammate who leads with empathy, urgency, and a candidate-first mindset. A self-starter who's eager to own outcomes and build systems from the ground up. Someone who thrives in high-trust, fast-paced environments and wants to leverage their experience and drive to be an instrumental part of scaling a high-performance company. A recruiting generalist with the ability to balance sourcing excellence with process improvement and stakeholder management. Location Sift's headquarters is in Marina del Rey, CA. We collaborate in person Mondays through Thursdays with Fridays being remote. While we prefer team members to be local, we're open to relocating candidates to LA. Salary range: $75,000 - $107,000 per year. Plus equity and benefits.
