PURPOSE This role is essential for overseeing all aspects of facilities management. You will work under the general supervision of the Sr. Director of Facilities, Fleet, and PMO, managing critical processes such as budgetary reporting, vendor management, and various initiatives to ensure our stores receive timely and high-quality solutions. MAJOR RESPONSIBILITIES FACILITIES MANAGEMENT Oversee emergency calls (24/7), escalations, and daily transactions to ensure prompt repair services in our stores. Coordinate vendor project manager activities with internal teams to integrate facility management seamlessly and minimize disruption during grand openings. Manage landlord interactions and liaise with the Real Estate team for documentation needs. Assist in the inspection process conducted by third parties. Identify potential capital projects through store inspections, wish lists, and vendor recommendations. VENDOR MANAGEMENT Collaborate with the Sr. Director to ensure vendor compliance with corporate standards. Manage contract compliance and service level agreements for vendor project managers, ensuring all external resources communicate effectively and conduct themselves professionally. Facilitate quarterly reviews with primary vendors to evaluate performance and explore improvement opportunities. Ensure maintenance contracts for new stores are established and services begin at time of substantial completion. CATEGORY RESPONSIBILITIES Provide specialized support for categories like HVAC, Fire Protection, Janitorial, and Waste Management. Maintain Statements of Work (SOWs), specifications, and classifications for assigned categories. Assist Procurement in managing RFPs as necessary. Participate in the QBR process for applicable categories. BUDGETARY RESPONSIBILITIES Support P&L processes, accrual management, and budget planning for your assigned categories. Assist in reforecasting budgets quarterly and explaining P&L variances monthly. Manage monthly accrual reporting and participate in annual budget development. MINIMUM ELIGIBILITY REQUIREMENTS Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field. 3-5 years of experience in Facilities Management is required. Experience in Energy Management and Utilities is preferred. Strong command of Microsoft Office Suite. Detail-oriented, highly organized, and able to manage multiple tasks in a fast-paced environment. A valid driver's license is required. WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT) Willingness to travel 25%, including via air and car. The role involves frequent exposure to construction sites and moving vehicles, with noise levels typically moderate to noisy. PHYSICAL/SENSORY REQUIREMENTS Requires the ability to exert 10 - 20 pounds of force occasionally, to lift, carry, push, pull, or move objects. Primarily sedentary work, with occasional walking or standing. The individual may also be required to stand, walk, reach with arms and hands, and balance as needed. STORE SUPPORT CENTER ASSOCIATES Provide leadership and training on all Safety programs, ensuring associates are trained for their roles. Adhere to established Safety procedures in all tasks, participating in all required training and obtaining necessary certifications. Every associate holds responsibility for Safety at the Store Support Center and at other company locations. Report all Safety concerns to management or the Safety Department promptly.
