As the primary contact for our pharmaceutical events, you'll work closely with clients to understand and achieve their program goals. This role involves managing additional meeting spaces and providing crucial logistical support for event activities. You will be responsible for securing meeting rooms, coordinating audiovisual and catering needs, and ensuring all spaces are customized to client specifications. Your on-site support is vital for the smooth execution of all supplementary activities, with travel required up to 40% of the time. Your Key Responsibilities: Develop and manage a comprehensive project timeline to ensure all program details are handled accurately and timely. Utilize a business program management system to oversee the program from initiation to final billing. Negotiate hotel and event requirements to meet all contracted standards while keeping an eye on cancellation policies. Serve as a liaison between IT support and clients regarding web requirements for assigned programs. Coordinate site inspections as necessary, creating a detailed program itinerary that outlines all specific requirements. Maintain accurate records to ensure compliance with Amex GBT's policies for comprehensive reporting. Evaluate program impact and actively seek enhancements based on objectives and results. Collaborate with teams to manage registration and air travel needs, ensuring clear communication throughout the program lifecycle. Foster a positive team environment and maintain proactive communication with clients to boost satisfaction and understanding of expectations. Effectively communicate program needs to the team and collaborate with support departments to exceed client goals. Schedule regular status meetings with clients and stakeholders, guiding projects from pre-launch through operation. Assess existing processes and suggest improvements as needed while maintaining financial forecasts and reporting accurate program costs. What We Are Looking For: Required: 3-5 years of meeting planning experience, including at least 2 years in the pharmaceutical sector. Experience with Pharmaceutical Congresses is a plus. A 4-year degree and CMP designation are preferred. Outstanding communication skills to engage effectively at all levels of management and with clients. Meticulous attention to detail and the capacity to meet tight deadlines. Proficient in technology and possess strong analytical skills. Advanced experience with Microsoft Word and Excel. Familiarity with meeting industry technologies, like CVENT, is preferred. Excellent oral and written presentation skills. Willingness and capability to travel up to 40%. Location This role is based in the United States. The national base salary range for this position is from $55,300.00 to $102,700.00, contingent on several factors, such as role complexity and relevant experience and skills. This position is also eligible for a discretionary annual bonus based on individual and/or company performance.
