Gift Planning Support Coordinator - Estate & Gift Planning (Development) Work Location: Madison, WI - National Office Schedule: Part time This position advances InterVarsity's mission through project management, administrative, and targeted marketing support for the Estate & Gift Planned Team. This role is involved with key operations, including new and matured bequest gift administration, planned gift donor stewardship, lead generation marketing strategies and Legacy Fund processes. Responsibilities include supporting programs to cultivate and steward prospective and existing donors with a focus on securing deferred gifts and asset-based contributions aligned with InterVarsity's national and regional priorities. MAJOR RESPONSIBILITIES Personal Be a maturing disciple of Jesus Christ: growing in love for God, God's Word, God's people of every ethnicity and culture, and God's purposes in the world Cultivate an abundance mentality based in the love of God Commit to lifelong learning by valuing the discipleship of the mind and staying updated on fundraising principles and best practices Develop familiarity with current topics and concerns within church denominations that may influence InterVarsity's ministry partners Stay informed about InterVarsity's work on college campuses, including updates from Collegiate Ministries and Graduate and Faculty Ministries Contribute to the Effectiveness of InterVarsity's Estate and Gift Planning (EGP) Team Ministry Partner Relationships Manage incoming calls and emails for the EGP Team. Cultivate ministry partner relationships through calls, emails, and handwritten notes to encourage giving and recognition. Assist with the development and execution of communication and stewardship plans for InterVarsity's Legacy Fellowship, enhancing ministry partner relationships through personal cards, newsletters, fulfillment materials, welcome packets, Thanksgiving cards, and donor gifts. Donor and Data Management Maintain accurate donor records by updating InterVarsity's CRM system (currently Salesforce) as needed. Oversee scanning, uploading, and filing of gift planning paperwork. Ensure donor engagement strategies align with organizational goals and standards. Track and log EGP newsletter campaigns and responses. Track and log donor survey campaigns and responses. Estate Gift Administration Oversee the estate gift process, including tracking progress, coordinating follow-ups, and collaborating with accounting, finance, and gift processing teams. Coordinate and track information on potential and maturing estate gifts by liaising with representatives, executors, attorneys, IRA custodians, and trust officers to ensure timely closure. Marketing Strategies Collaborate with the EGP Team on mass planned giving activities (e.g., newsletters, e-newsletters, website) to generate leads and bequest notifications, ensuring deadlines are met. Manage and update InterVarsity's Gift Planning website, ensuring content aligns with marketing strategies in partnership with the EGP marketing vendor. Track and analyze EGP marketing efforts, i.e., EGP newsletter and survey results. Create, edit, and format documents, including letters, brochures, and other materials as needed. Manage Legacy Fund Processes and Communication Oversee the lifecycle of InterVarsity Legacy Funds-from inception and growth to distribution and stewardship-ensuring donor intent alignment and legal compliance. Support the creation and administration of legacy (endowed and quasi-endowed) funds by coordinating with internal stakeholders. Notify staff owners of available annual distributions and track distribution timelines to ensure timely use. Request stewardship stories to support donor engagement and reporting. Assist in crafting and distributing donor acknowledgments, fund impact updates, and planned giving reports. Ensure accurate and timely communication that aligns with ministry values and donor expectations. Maintain accurate records related to planned and legacy gifts in the donor database. Generate reports on fund activity, stewardship actions, and fund utilization for internal stakeholders. Collaboration and Relationship Building Collaborate with Estate & Gift Planning, Major and Mid-Level Gift Officers, as well as Development Team sectors to enhance collective impact. Serve as the primary liaison between the EGP and Development Services team, ensuring seamless communication and collaboration, including personalized acknowledgments like thank-you letters and calls. Support planned giving initiatives by acting as a secondary liaison with finance, communications, legal, and other departments. Provide timely, courteous service and thorough follow-up with internal and external contacts. Foster collaborative, trusting relationships across all levels of InterVarsity, promoting a unified organizational culture. Participation in Strategic Activities Coordinate EGP Team meeting agenda, scheduling, note-taking, prayer logging Actively participate in Estate & Gift Planning, Strategic Giving, and Development team meetings as necessary. Contribute to Development and NSC Community gatherings to support team collaboration and growth. Attend and support assigned InterVarsity events, such as Urbana, National Staff Conference, and Guest Programs. Foster a collaborative and unified Development team environment. Professional Growth and Industry Compliance Stay informed on trends in estate and gift planning and participate in relevant educational opportunities. Collaborate with your supervisor to identify growth opportunities-such as training, conferences, and coaching-that enhance your skills, spiritual depth, and maturity. Administration Work within InterVarsity's policies and procedures. Be mindful of InterVarsity's and your budget. Carry out additional administrative work as requested. Additional Responsibilities Fulfill additional responsibilities as assigned to support the team's mission and goals. Demonstrated integrity, professionalism, and spiritual maturity. Education and Experience Bachelor's degree or equivalent relevant experience is either preferred or required. Development/fundraising experience preferred. Experience with InterVarsity's campus ministry is a plus. Technical and Professional Skills Familiarity with moves management in fundraising. Skilled in asking for specific gifts, addressing objections, and planning next steps to close gifts successfully. Proficiency in Microsoft applications (Outlook, Word, Excel, PowerPoint); Salesforce or other CRM experience preferred. Communication and Interpersonal Abilities Exceptional written and verbal communication skills. Strong emotional intelligence and relationship-building abilities. Ability to navigate and respect both InterVarsity's culture and the culture of major donors. Organizational and Problem-Solving Skills Strong organizational and stewardship skills in managing time, finances, and materials. Self-starter with initiative and a strong work ethic. Independent problem solver. Ability to manage deadlines effectively. Quick learner of new concepts, methods, and tools. Additional Requirements Ability to maintain confidentiality with donor information. Willingness to travel occasionally for InterVarsity events and conferences as needed.
